Job title: Education & Research Coordinator

Job description: The Department of Psychiatry is a clinical academic department within the Faculty of Medicine. Reporting to the Child and Adolescent Psychiatry (CAP) Administrative Manager, the Education & Research Coordinator will provide administrative coordination for the CAP education programs and administratively support division research initiatives in all stages.
Key Responsibilities

  • Provide support and coordination to the CAP Undergraduate, Subspecialty and Postgraduate Programs. Serve as primary administrative resource for participating learners and residents as well as staff.
  • Coordinate lectures and teaching sessions including scheduling, presenters, materials, attendance and evaluation materials. Provide Brightspace and other technical support as required. Coordinate preceptor recruitment and evaluations. Compile evaluation data for committee meetings.
  • Coordinate the application process for CAP subspecialty applicants. Answer and redirect applicant inquiries, receive and review applications for completeness, take minutes for committee review meetings, coordinate interviews, draft offer letters and contracts from templates.
  • Provide administrative support to CAP leadership including maintaining schedules, booking appointments and drafting routine correspondence. Support multiple committees, including booking meetings, taking minutes, and providing reminders regarding follow-up action items.
  • Support researchers and/or Administrative Manager with application documentation and post-award grant administration, including financial account assistance, institutional reporting, and payroll documentation.

Qualifications

Business/Office Administration program plus approximately five years progressively responsible and related experience (or equivalent combination of training and experience) is required. Experience in a health professional education environment, and knowledge of medical education programs and/or academic health care environments will be considered assets. Must demonstrate strong interpersonal and communication (verbal and written) skills as well as tact, and the ability to maintain confidentiality. Demonstrated organizational and prioritization skills, and the proven ability to meet firm deadlines and work independently are essential. Experience with videoconferencing and various software packages (e.g. Adobe Professional, Excel, database systems and Word) as well as the ability to learn new software is required. Knowledge of SAP, One45, Brightspace and/or Sharepoint an asset.
