RESPONSIBILITIES

Reporting to the Project manager the Construction administrative assistant’s main functions are to coordinate, in collaboration with the Project Manager, the management of technical documents related to the implementation of the project.

  • manage plans, specifications and addenda (keep up to date in the monitoring table, ensure distribution), shop drawings, technical questions and order forms;
  • update the list of speakers;
  • manage the arrival and transmission of site directives, questions from contractors and responses from professionals or the client;
  • obtain “as built” plans, instruction manuals and complete photo album;
  • collaborate in monitoring the correction of deficiencies;
  • follow up on requests for final acceptance and release of project holdback;
  • be in contact with the subcontractors for the management of the end-of-contract documents to be obtained (warranty, maintenance sheets, “as built” plans in mechanical-electrical engineering, spare materials, etc.) and for repairs under guarantee, ensure follow-up;
  • prepare contracts and follow up on project documents;
  • prepare post-mortem documents for project managers;
  • manage riders (open files, obtain contractors’ prices, prepare and transmit riders to contractors, close files, etc.).

Profil

Requirements

  • Office suite and MS Project;
  • 3 to 5 years of relevant experience related to the position;
  • DEC in Civil Engineering or Architecture;
  • bilingualism English, French – (an asset);
  • reading plans and specifications.
