Purpose
Ensuring efficient and effective execution of all administrative and accounting duties in support of the Equity and Pension Investments Group. Specifically, this role will provide support for two Managing Directors, three Directors/Portfolio Managers and the broader Equity and Pension Investments team within Group Treasury as required.
Accountabilities
– Administrative duties in support of operational efficiency:
- Make travel arrangements and prepare travel itineraries including hotel booking, registration for conferences, etc;
- Process expenses for team members and arrange for payment of invoices for department ensuring proper charges/allocation of expenses to transit budget;
- Coordinate calendar appointments, schedule meetings, tracking of meeting attendees, book meeting rooms, organizing catering and equipment set-up as applicable;
- Accurately type critical memos and letters in MS Word and prepare PowerPoint presentations;
- Maintain files, both on network and filing room (as applicable), including opening/closing as well as archiving;
- Maintain and update department business continuity plan;
- Coordinate and sort department mail, faxing, photocopying and courier;
- Maintain inventory of stationery supplies and ensuring that sufficient supplies are kept on hand;
- Maintain quarterly/annual planner for pension fund activities;
- Assist in preparing documentation and updates that may be required by internal auditors and external auditors;
– Activities related to equity and/or pension investments supporting trade, clearing and settlement activities and reporting:
- Input daily trade tickets and settlement information into order entry and settlement systems;
- Prepare meeting materials for Quarterly and ad-hoc Investment meetings;
- Prepare documents for internal and external distribution;
- Print and organize due diligence and market reports for investee companies;
- Maintain and update contact between custodian and counter parties with respect to daily trade settlements and clearing matters.
– Activities related to pension fund assets supporting financial integrity of pension funds and reporting:
- Process invoices for the Master Trust, Canadian and US pension plans including invoices from Total Rewards and from Master Trust Committee and Pension Administration and Investment Committee (PAIC) external member(s);
- Provide accounting support including reconciliation of invoices paid by Custodian, pension plan contributions and pension payments, as applicable;
- Prepare monthly currency hedging report to Custodian;
- Prepare and provide instruction letters to Custodians and Investment Managers for pension fund transactions; and Letters of Direction to facilitate account transfers for Capital Calls and Distributions from and to Alternative Investment Managers;
- Prepare Master Trust, SPP and SPP (US) asset mix reports on a monthly basis; note any exception over/under the tolerance levels;
- Assist with regulatory filings and with the preparation of Stats Can (quarterly), CEM (annual) and other surveys;
- Update monthly Market Values for Alternative Investment Managers and send to custodian.
- Prepare and distribute annual terrorist search letters related to the pension funds;
- Provide support for the Master Trust Committee, PAIC as well as a number of other subsidiary pension committees;
- Assist in preparing meeting materials for Master Trust Committee and PAIC members;
– Perform other related duties as may be assigned from time to time
Education / Experience / Other Information
- General knowledge of investment capital markets would be an asset.
- Completion of Canadian Securities Courses and/or CFA Level 1 is preferred.
- The incumbent must have good typing skills and a good understanding of MS Word, Excel, and PowerPoint. The incumbent must prepare accurately typed documents, memos, letters, reports, tables, presentations and spreadsheets under a heavy workload and tight time frames. As a result, the incumbent must work intelligently in an organized manner.
- Sound judgement and awareness of operational activities and responsibilities are essential to assess the urgency, confidential status and importance of all documentation, enquiries, and requests for the group.
- Effective team player who displays good organizational skills, initiative and positively contributes to a team environment.
- Strong communication skills (verbal and written) to interact with a wide range of individuals in a wide range of situations, which often require diplomacy, discretion, and maintenance of confidentiality at all times.
