We are seeking a new team member to come aboard this journey.ADMINISTRATION & EVENTS COORDINATORReporting to the OSC’s Office Manager, the Administration and Events Coordinator is responsible for supporting a broad range of administrative activities and effectively delivering OSC events and meetings. The role requires exceptional organizational skills to tackle multiple responsibilities as well as a strong capability to develop sound working relationships with the OSC Executive Team, its delivery partners, members and other stakeholders.The successful candidate for this role will be a detail-oriented self-starter who thrives on ensuring projects, assignments and priorities are accomplished on time with a high level of quality and accuracy. This role is at distance, so harnessing technology to manage your workload and amplify your sound communication skills is a must.ResponsibilitiesSupport members of the OSC Executive Team by way of expense reporting, calendar management and travel bookingWork closely with the team to complete administrative tasks in a timely manner and with great attention to detailSupport document preparation including correspondence, reports and presentationsSupport efforts related to OSC asset tracking and deployment/procurement of IT and office related assets Support the Office Manager with ad hoc activities as they ariseWork collaboratively with the internal OSC team to understand key priorities for events, workshops and team offsites ~ and delivering on those specificationsDrive logistics and support delivery of events (e.g. forums, workshops, etc.) for OSC partners to connect, network and partner, including but not limited to:Technical tests for speakers and participantsDetailed run sheets for eventsAll logistics, whether a virtual or physical event (e.g. virtual platform/venue/food/etc.)Coordination with speakers/participantsAssist and/or lead collection and tabulation of feedback and analytics of OSC events using data where possible (may include documenting outcomes and meeting notes, etc.)Actively plan and assist in organizational Social Committee Meetings and other OSC team meetings as requiredSupport delivery of internal initiatives where applicableContract (1 year) salaried position with option to extendQualificationsExperience & Qualifications:Some post secondary education or certification in Administration and/or Event Planning3 or more years’ experience in a similar roleEvents Planning/Delivery experience as part of past rolesAdvanced working knowledge of Microsoft Office Suite, Adobe Acrobat, and SharePoint.Proven hands-on expertise with relevant business and event technologies and software platformsBonus Skills:Bilingual (French and English)Experience with client relationship management tools (CRM)Experience with membership-based business modelsExperience working in one or more ocean industryAttributes & Fit:Strong organizational and critical thinking abilitiesThe ability to multi-task and juggle multiple prioritiesAbility to build and maintain effective partnershipsPersonable, presentable, articulate and generates enthusiasm, excitement and engagement with their surrounding teamExcellent verbal and written communication skillsComfortable and polished presentation skillsComfortable working and collaborating both virtually and remotely with othersDetail-oriented coupled with proven sense of urgency to get things done well and on timeA relationship builder who is passionate about our vision and its potential SkillsAdministrative Assistants, Event Planning, Events, Executive Administrative, Innovative, Organizational Skills, SupportArrayAbout Canada’s Ocean SuperclusterChanging the Way Ocean Business is DoneCanada’s Ocean Supercluster is growing the ocean economy in a way that has never been done before, where leaders in fisheries, aquaculture, defense, offshore resources, marine renewables, bioresources, shipping, and ocean technology are coming together to develop and commercialize solutions to shared ocean challenges, while advancing Canada’s position as a global leader in ocean.Other InformationIf this sounds like you and you have a passion to bring value and contribute to an organization that is making an enormous impact, we want to hear from you.
