Position Overview
Provides administrative support to the Administration & Office Services Supervisor and in collaboration with corporate Human Resources and Payroll, is responsible for the administration of all part-time employees within Recreation Services; including maintaining the departmental human resources database and administering the weekly payroll function; updating employee pertinent data i.e. personnel information, payroll number, part-time job functions and hourly pay rates. Provides administrative support including audits, investigates and rectifies all departmental payroll and human resources irregularities and advises appropriate Recreation / Fitness / Aquatic Coordinators. Provides clerical and administrative support to the Director, Recreation Services, management team and staff supporting all lines of business, including but not limited to departmental events, presentations, mail distributions, phone and reception duties, filing and photocopying. Copywrite and proofread promotional and marketing material, etc. Compiles statistical information and generates reports, as required. Assists with maintaining and updating all departmental policies and procedures manuals, as required. As resident expert, provides support to Recreation Services staff for the Vaughan Online Employment Website, (internal and external) web policy and procedure files ensuring consistency, accuracy and current information throughout databases.
Qualifications and Experience
- Successful completion of a 2-year Community College Diploma in Business
Administration, related discipline or suitable equivalent.
- A minimum of four (4) years’ related work experience in a municipal environment.
- Possesses strong organizational, and communication skills (verbal and written) coupled
with effective, report writing, problem solving, audit/analytical and grammatical skills.
- Knowledge of the Employment Standards Act and organizational Collective Agreements
an asset.
- Superior customer service skills with demonstrated ability to work collaboratively with
staff teams, agencies, and external contacts.
- Strong proficiency and competency in utilizing personal computers and associated
software (i.e. MS Word, Excel, Outlook, PerfectMind, JD Edwards(CTS), Power Point,
PayExpress, HRExpress, QualExpress, Sharepoint (VOL) Viso, Versatile).
- Possesses and maintains a current Standard First Aid Certification.
- Knowledge of, and demonstrated ability in, the city’s core competencies and relevant
functional competencies.
- Valid Ontario Class ‘G’ driver’s license, in good standing and a reliable vehicle to use on
company business.
- Ability to work outside normal business hours as required and in accordance with the
Collective Agreement.
