Talan Canada is growing and looking to strengthen its team with a Documentation Specialist for the Montreal office, who will be interested in working with clients from multiple industries.

Job Description

Responsibilities

  • Ensure the operational processing post-trade capture of OTC transactions initiated by business lines MARK, on Equity Derivatives and Commodities (paper and electro)
  • Reconcile and redraft all confirmations (legal & economic terms) of our OTC derivatives transactions with our counterparties
  • Understand the affirmation and confirmation processes and procedures, the regulatory timelines and follow the internal escalation timeline
  • Validation of drafted and revised confirmations
  • Manage discrepancies and disputes around confirmations with clients and relevant internal actors
  • Develop and improve client satisfaction
  • Contribute to the improvement of our processes and controls
  • Alert your manager about any incident on your scope

Operational risk:

  • Affirm the existence of the transaction with our clients through recognition of the main economics
  • Daily monitoring of the transactions with high operational risk: cancelled trades, late booking and unrecognized trades
  • Identify transaction that require drafting of a confirmation: Select the appropriate template for the trade, find the required additional information to complete the template, provide all required approvals for validation (including raising discrepancies when encountered), update status and comment in BO system
  • Analyze client’s confirmation checking all economical and legal terms of the transaction
  • Chase clients according to the chasing and escalation procedures and timelines
  • In case of discrepancies, reach out to the appropriate teams (FO, MO, Legal…) to solve the break as quickly as possible
  • Anticipate and alert your manager about any incident that could lead to an operational risk (understanding of the Confirmation Norm)
  • Update status and comments in the BO systems
  • Raise any discrepancies in the BO systems
  • Contribute to the improvement of our dashboards (KPI) and raise anomalies

Monitoring of the activity:

  • All Sirocco requests should be cleared within 24h
  • Weekly KPI to be completed and sent (EOM numbers and management KPI)
  • Challenge status-quo and propose improvements

Contribution to improvement:

  • Identify and raise client specificities to be implemented in the systems (confirmation & affirmation)
  • Raise IT bugs and propose enhancements for BO systems
  • Collect required information to update our referential
  • Write procedures (Simplified Operational Procedures)
  • Contribute and participate to transversal requests and projects

Client relationship and satisfaction:

  • Use professional language when interacting with external and internal clients
  • Respect employee Culture & Conduct SG standard and communication methods
  • Anticipate and alert your manager about any incident that could impact the client relationship
  • Provide required input for client visits and participate to client visits
  • Ensure that all client requests are answered within required timeframe

People & Culture:

  • Share with the team issues encountered on a daily basis to implement together an action plan
  • Share Best Practices with the team during Stand Up Meetings
  • Participate and/or complete mandatory trainings

Qualifications

  • Experience in financial markets and knowledge and practical skills in Excel, VBA and financial mathematics (or motivated to learn)
  • Fluent in English (mandatory) and French (nice to have).
  • Good inter-personal and partnering skills, a “team-player”
  • Demonstrate initiatives, solutions oriented
  • Ability to prioritize and work in a dynamic, deadline-focused environment
  • Bachelor’s Degree with a major in finance or financial markets (nice to have)

Additional Information

We are mainly looking for employees recruited into permanent positions at Talan, but we are open to working with freelancers. You must be in Montreal or be willing to relocated rapidly from anywhere in Canada.
