Job title: EXECUTIVE ASSISTANT

Job description: Reporting directly to the CEO, our client is searching for an Executive Assistant who provides executive support and serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the President and CEO and the Executive Leadership Team.

Responsibilities:

  • Plans, coordinates, and ensures the CEO’s schedule is followed and respected.
  • Completes a broad variety of administrative tasks for the CEO and the general administrative management of the entity including managing an extremely active calendar of appointments; completing expense reports; accounting and financial report preparation for funders and preparation for audit; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Provides “gatekeeper” and “gateway” roles, creating direct access to the CEO’s time and office.
  • Communicates directly, and on behalf of the CEO, with Board members, clients, stakeholders, government officials, and others.
  • Researches prioritize and follow up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Works closely and effectively with the CEO to keep her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a “barometer,” having a sense of the issues taking place in the environment and keeping the President and CEO updated.
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, correspondence, and other tasks that facilitate the CEO’s ability to effectively lead the company.
  • Coordinates travel: prepare itineraries and travel documents accordingly. Books flights, hotel room reservations, ground transportation and other related logistics.
  • Serves as the CEO’s administrative liaison to the Board of Directors and coordinates with the Corporate Secretary’s office for support to the Board of Directors and its Committees.
  • Coordinates the agenda and background documentation of leadership team meetings, including off-site meetings, and staff meetings.
  • Plays a coordinating role in regard to the Executive Assistant team.
  • Performs all tasks and/or projects requested by the CEO.

Qualifications

  • Undergraduate degree preferred.
  • Minimum 10 years of experience supporting Executives and/or presidents.
  • Exceptional organizational skills that reflect an ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including the leadership team, Board members, government officials, etc.
  • Ability to exercise good judgment in a variety of situations and ability to maintain a realistic balance among multiple priorities.
  • Fluently bilingual with strong written and verbal communication (French and English);
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability.
  • Highly resourceful team player, with the ability to also be extremely effective independently.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrates the highest level of member service and response.
  • Demonstrated ability to achieve high-performance goals, meet deadlines in a fast-paced environment, and deal with competing or changing priorities.
  • The flexibility of the work schedule is required.
