Job title: Finance Administrative Assistant

Job description: Our client is a growing, dynamic company in the construction industry experiencing expansion within their team and are seeking an Administrative Assistant to join their team. This is an excellent opportunity for a self-starter to grow their career within a company that offers flexibility and the ability to upskill. Ideally, this role will grow into the senior administrative support roles. Finance or banking experience is a must, and within the construction industry is ideal.

Your fit within the role will depend on your proven experience as an Administration Assistant with key responsibilities including:

  • Obtain purchase/expense approvals and process payments
  • Scheduling meetings and appointments
  • Taking notes and minutes in meetings
  • Assist accountants by tracking various project/divisional costs, create and maintain Excel spreadsheets and PowerPoint presentations
  • Being a point of contact for a range of staff and external stakeholders
  • Preparing documents for meetings and business trips
  • Processing and directing mail and incoming packages or deliveries
  • Produce correspondence, invoices, schedules, and confidential financial information
  • Greeting and directing visitors and new staff to the organization
  • Writing and issuing emails to teams and departments on behalf of teams or senior staff
  • Researching and booking travel arrangements for staff members
  • Finding ways to improve administrative processes

Requirements

About you

To be successful in this role, you will be someone who has very strong administration and reception experience and is passionate about building relationships with others. You will also be an exceptional communicator on all levels, possess excellent organizational skills and have a strong work ethic which will allow you to thrive working in this fast-paced environment.
