Your opportunity:
The Continuing Professional Development (CPD) unit in the Faculty of Medicine is one of the world’s largest providers of continuing education and professional development programming for physicians and other health professionals. CPD facilitates and supports the development of a full range of specialized medical education programs. Working with program directors and conference chairs from across the Faculty of Medicine, CPD accredits close to 400 programs and conferences per year that attract over 45,000 learners from across Canada and internationally.
As the Finance and Payroll Administrator, you will play an integral role in our self-funded business unit as a member of our financial services team. Leveraging your experience in financial management and accounting, you will be accountable for administering all aspects of over 200 individual Conference Accounts, with consolidated budgets of over $12 million annually. This will include preparation of profit and loss statements for a range of internal and external clients, providing ongoing preliminary contract budget analyses, ensuring compliance with and applying University financial policies. You will also be responsible for supporting a number of human resource processes, including hiring, payroll and attendance reporting.
Your responsibilities will include:
- Preparing documentation to establish accounts, setting account budgets in FIS, processing all revenue and expense transactions
- Applying University of Toronto purchasing and expense policies, and receiving and depositing sponsorship payments
- Monitoring contract budgets, providing interim budget analyses and reconciling accounts
- Preparing financial statements for approval, closing accounts, and transferring conference surpluses via cheque, wire transfer or debit memo, and invoicing for conference deficits
- Administering HR processes for a large pool of casual employees: casual USW and casual academic
- Drafting contracts, determining appropriate related tax treatment, hiring in HRIS, reviewing and processing time sheets (casual USW), issuing payments as per disbursement schedule for casual academics, allocating to appropriate conference accounts, and monthly reconciliation of payroll distribution
- Reporting absences for USW staff-appointed and PM staff, including collating and auditing attendance records, escalating any discrepancies, and uploading files to HRIS
Essential Qualifications:
- Advanced College Diploma (3 years) or acceptable combination of equivalent experience
- Minimum three years’ related financial experience preferably in a University setting, or equivalent environment
- Demonstrated experience processing financial transactions and applying financial and research guidelines and procedures
- Experience processing payroll transactions and reconciling payroll
- Experience monitoring and reconciling research accounts
- Experience generating financial reports and compiling, sorting and organizing financial data
- Experience liaising and building relationships with internal and external stakeholders
- Advanced proficiency with MS Office Suite, including advanced use of Excel and with SAP systems, Financial Information System (FIS), Human Resources Information System (HRIS) or similar systems
- Excellent communication (written and verbal) and interpersonal skills
- Superior time management skills with ability to prioritize responsibilities and meet deadlines without compromising quality
- Ability to accurately interpret and apply guidelines, procedures and regulations in a variety of situations
- Demonstrated professionalism and ability to effectively communicate financial procedures
