Job description: Position Overview
The Department of Electrical and Software Engineering in the Schulich School of Engineering is currently seeking a Full-time Limited Term Graduate Program Advisor for approximately 12 months.
Reporting to the Manager, Department Operations; the Graduate Program Advisor is responsible for providing accurate information and guidance based on a high level of expertise to students with respect to procedures, policies and regulations related to student admission, registration and progression through Masters and Doctoral degree programs to graduation. The Graduate Program Advisor works closely with the Associate Head Graduate Studies/Graduate Program Director, Faculty of Graduate Studies, faculty members, and the Department Manager to advise all matters relating to the department’s graduate programs. They will also advise Faculty on policy and procedures relating to graduate students and Graduate course offerings.
The Advisor will Identify potential issues of concern and bring them to the attention of the Graduate Program Director or Faculty of Graduate Studies. They ensure all established procedures, rules, regulations and policies are met as set down by the University, the Faculty of Graduate Studies and the Department. The incumbent executes duties within a framework of policies and procedures using a high degree of initiative and independent judgement. There is a high volume and diversity of work, driven by numerous strict and simultaneous deadlines and conflicting priorities. The position requires sensitivity to culture diversity, strong communication, sound judgement and flexibility.
Position Description
Summary of Key Responsibilities (job functions include but are not limited to):
Department Operations
- Facilitate admissions process including compiling and verifying application materials, and associated correspondence with applicant, Faculty, and Faculty of Graduate Studies adhering to the Graduate Program practice and policy
- Provide support to the Associate Head Graduate Studies/Graduate Program Director in reviewing individual students and graduation files, including providing information relating to student transcripts, grades and other items as required
- Assist in the academic graduate timetabling process including planning with Associate Head Graduate Studies/Graduate Program Director ensuring student timetables meet program requirements and needs of students together with the Undergraduate Program Advisor
- Maintain in-depth knowledge of changing University programs, regulations and procedures as they relate to Student Affairs and provide information, changes in policy or deadlines to students in a timely manner as well as maintains websites for the department with current Grad Studies regulations working with the SSE Marketing & Communication
- Strategize on the graduate application process, providing analysis and suggestions for improvements to provide the best possible service to current and prospective graduate students Demonstrate diplomacy and tact to ensure that academic policies and procedures are adhered to according to University regulations
- Collaborates with the Faculty of Graduate Studies and the fees office on all matters related to student financials. Advises students on outstanding issues and assist with payment process Collaborates with Payroll, Faculty of Graduate Studies and Research/Trust accounting staff on all matters related to student stipends and scholarships
- Organizes scholarship competitions, identifies eligibility and organizes selection committees. Prepares, updates and distributes grad student assistantships records and contracts
Advising
- Confidentially advises graduate students in all matters of their program, from admission to convocation; interprets and disseminates policies and regulations and applies them accordingly
- Communicate offers and rejections, in conjunction with guidance regarding next steps and/or options for consideration
- Source, organize and facilitate orientation resources for incoming students, including ongoing direction and onboarding support
- Provide advice on all aspects on graduate policies, administrative procedures, degree requirements, in addition to details pertaining to international students
- Identifies areas of concern and directs appropriate actions; advises Associate Head Graduate Studies/Graduate Program Director and/or Department Manager/Head
Qualifications / Requirements:
- Post-secondary education in Business, Finance, Communication or a related field; additionally, a minimum 5 years of directly related experience
- Direct experience in a student facing role, with engagement and strategic problem solving
- Excellent computer skills are required, notably proficiency with Microsoft Office and PeopleSoft applications as demonstrated with several years of experience
- Excellent oral and written communication to draft clear, concise correspondence, as well as to respond to enquiries with tact, confidentiality and discretion demonstrated by 3 years experience in a professional environment
- Ability to work closely with others, as well as independently, understanding the needs of a dynamic team with a flexible schedule is critical
- Ability to deal with frequent interruptions in a cooperative and professional manner
- Strong analytical and problem-solving skills, accuracy and attention to detail, demonstrated with previous professional experience of at least 3
- Proven customer service skills to provide information to a diverse clientele respectfully in a timely and efficient manner, demonstrated by a minimum of 3 years working in a student, client or customer facing role
- Knowledge and understanding of the University Calendar Regulations, Faculty of Graduate Studies regulations and student supports available within the Schulich School of Engineering and University of Calgary regulations and processes is highly desirable
