The Information Technology Specialist is responsible for the administration, support and maintenance of all computing systems, the department’s network infrastructure and the provision of quality computing services, support and training in the School of Optometry and Vision Science. Each incumbent’s role in the activities of the IT support team may vary depending on their skills and experience. These activities include support of the School’s administrative, teaching, research and clinical computing environments, and related technologies.

Responsibilities

IT Service desk support

  • Assist local and remote users with a variety of problems
  • Document and prioritize client requests
  • Understand and resolve client’s computing and technology related issues
  • Facilitate computer hardware and software purchases
  • Transfer issues to other team members where appropriate
  • Keep clients informed of the status of work requests
  • Stay informed of the status of the campus computing environment and any outages or upcoming environment changes
  • Keep a record of work carried out on projects and support requests
  • End-user support for the Microsoft 365 cloud computing environment and SharePoint

Workstation support/administration

  • Setup, configure and secure new workstations for both standard and custom configurations
  • Install and distribute software packages, monitor software updates and licensing
  • Ensure security through update management, malware protection, user education, respond to security incidents as required, manage user access levels
  • Carry out remote administration and support of devices both on and off-campus
  • Advise on peripheral selection and usage

Systems administration

  • Act as super-user for the Optometry Clinic’s management and electronic medical records system. Manage system upgrades and configuration changes. Oversee user management and security configuration. Configure reports, templates, and equipment integrations. Maintain production, testing and training server environments. Ensure data is secure and backed up
  • Administer the clinic’s online patient booking, reminder, and check-in form services
  • Maintain systems security following all University guidelines on information management and as required by patient privacy legislation
  • Support the School’s emerging telemedicine initiatives
  • Manage the various medical imaging database systems used for patient care and teaching
  • Administer and support electronic data capture and survey systems used for research, patient care and administration
  • Administer user accounts in the University’s identity management system

User training

  • Facilitates training for users of the clinic’s Electronic Medical Record (EMR) and management system and maintains an online training environment
  • Provides effective change management assistance to the School community as the University’s IT environment evolves
  • Other training as required, for groups and one-on-one, in person and remotely
  • Maintain the School’s physical and virtual computer training labs and assist instructors with their usage

Equipment and Networking Support

  • Configure a variety of devices for the campus TCP/IP network
  • Support end-user connections to the campus wireless network and campus VPN
  • Diagnose and repair issues with computers, mobile devices and peripherals, and arrange for outside repair as needed
  • Advise users on equipment purchases, maintain inventory of spare parts and supplies
  • Provide large-format poster printing service
  • Support the VR Magic virtual reality simulator teaching laboratory, administer user accounts and work with the system vendor to resolve issues. Assist students with basic operation of the simulators
  • Support telecommunications software such as Skype and MS Teams and related peripherals

Qualifications

  • Post-secondary education in a computing discipline together with relevant experience, or an equivalent combination of education and experience
  • Experience with system administration of at least one of Windows, Mac OS or Unix required
  • Excellent communication and interpersonal skills, both oral and written
  • A strong commitment to high quality customer service
  • Demonstrated ability to work effectively and efficiently without direct supervision and to work well in a team-based environment
  • Deep familiarity with software, systems, and computer hardware is required
  • Knowledgeable with respect to integrating specialized equipment to computing applications in a wide variety of clinical Optometry and vision research
  • Ability to make use of professional development and training opportunities to keep skills and knowledge current
  • Must be able to use verbal and written communication effectively with diverse audiences of a wide range of levels of technical knowledge and understanding
  • Must have excellent problem-solving skills
