Job Summary:
This is a newly created position and will focus on administration and logistics that support our various programs. The ideal candidate will enjoy planning, problem-solving, scheduling and being a catalyst for process improvements.

Responsibilities:
Planning/Communication

  • Align departmental activities with CFC Program strategies and CFC’s Blueprint/Strategic Plan as set by the Executive Lead Programs
  • Create a work back schedule for the department as it relates to key program benchmarks (application deadlines, program start dates, showcase events, website updates, program reporting, program dept debrief and strategic planning, annual performance reviews, etc.)
  • Schedule regular department and interdepartmental meetings
  • Ensure that the organizational calendar is updated on a regular basis and relevant information about programs is shared across the organization

People

  • Work closely with Executive Lead Programs and HR to determine the Programs staffing needs, define positions, recruit, interview and hire new staff, facilitate onboarding, train on the administrative side and monitor their progress in the role
  • Work closely with Executive Lead Programs and Programs Director to set priorities for the department, including ways to streamline and eliminate duplication of effort
  • Manage the staff compressed and flex hour schedules for the department
  • Research year-round internship opportunities within the department

Administration

  • Ensure implementation of the contracting & agreement processes and ongoing DIK tracking
  • Assess and enhance program staff training to ensure appropriate support to residents and mentors/workshop leaders/guests
  • Analyze and optimize administrative processes that support program needs
  • Establish clear processes for ongoing, archiving of program materials/schedules, and ensure that all pre-existing program records and materials are properly archived
  • Ensure our record-keeping process follows CFC’s privacy policies

Interaction

  • Work closely with the Finance team to optimize workflows between the finance and programs departments
  • Work with Facilities & Creative Impact to minimize disruption to programs with increased rental of CFC and ensure appropriate alternatives are in place to support program delivery
  • Work with Creative Impact to secure Showcase and program event venues
  • Work with Facilities & Operations to streamline processes for shooting on-site and program uses/setups of the facilities
  • Work with HR and IT to create process improvements and SOP documentation
  • Work with Operations, Facilities & IT to see how to green up our program activities
  • Work with the CFC’s Executive team to create a plan to address questions of accessibility for talent at the CFC and within our program offerings
  • Spearhead the collection of information and data for Creative Impact reporting

Required Qualifications:

  • Post-secondary degree, preferably in Business Administration or Project Management
  • Knowledge of the Canadian film and TV industry
  • Excellent administration skills with strong attention to detail
  • Strong time management and planning skills
  • Strong interpersonal skills; ability to build and maintain relationships across departments
  • Solid oral and written communication skills for general correspondence, report writing
  • Ability to work independently and as an effective team member and collaborate with others
  • Change agent with lots of initiative
  • Proficiency in the use of Google Suite and Microsoft Office database applications (Salesforce)
