Reporting to the Manager, Faculty Arts & Science Office (FAS), the Program Assistant is responsible for providing administrative assistance to FAS Program Chairs, faculty, and students, as well as providing general support for the FAS Office. The Program Assistant is the secondary point of contact in the office for all enquiries when the Assistant is busy or away.

Summary of Responsibilities:

In collaboration with the Program Supervisor, Writing & Learning Centre (WLC) and in consultation with the School of Graduate Studies (SGS), contribute to the development of an annual plan of curricular and co-curricular programs and initiatives to support the success of graduate students

In collaboration with the WLC staff team, design, deliver and evaluate writing and academic skills programs and services to support the academic success and retention of graduate students

Consult with the School of Graduate Studies (SGS) to identify the academic support needs of graduate students

Promote a scholarly approach to Graduate-level research, writing, and studio work, informed by a commitment to equity, access, and decolonization

Actively and intentionally contribute to realizing the goals of Anti-racism and Decolonization included in the university’s academic plan, and the calls to action of the Truth and Reconciliation Commission of Canada

Provide individual and group writing consultations for graduate students at different year levels and across programs, including specialized support and resources for international students and domestic and international English Language Learners, liaising with ELL Specialist(s) to ensure alignment of resources and approaches

Coordinate, develop and deliver classroom-based writing, academic, and/or research methodologies workshops to support the delivery of curriculum; maintain ongoing communication with faculty and Graduate Program Directors to ensure that workshops address course learning outcomes and to facilitate effective promotion and engagement

Design and deliver professional learning opportunities for faculty and academic staff to promote best practices in Graduate level writing pedagogy and Thesis/MRP supervision, consulting with the Faculty & Curriculum Development Centre (FCDC) as required; provide individual consultations with faculty

Create and maintain writing, research and other academic resources for graduate students in print and on-line formats as required

Collaborate with WLC and SGS staff to develop and implement communication, promotional and outreach strategies to support participation in and build awareness of relevant writing and other academic support programs; monitor program participation levels

Maintain currency in advances and trends in writing and academic support service provision in graduate education with an emphasis on art and design education

Conduct research on historical and current trends for articulating creative practice in graduate education

Participate in ongoing professional learning and program review to integrate knowledge of Universal Design for Learning (UDL), multimodal opportunities for workshop facilitation, online learning platforms, accessibility and decolonial approaches into program design and delivery

Liaise with departments and units across the University to develop and maintain expertise in the demands of the OCAD U graduate curriculum, expectations of faculty, and the writing and academic support needs of graduate students

Support ongoing program evaluation including documenting student feedback, best practices and programming to inform ongoing improvement

Assist the Director, Teaching & Learning and/or the Program Supervisor in other related duties that contribute to the successful operation of the WLC and support the Centre’s strategic objectives

Qualifications:

Graduate Degree in Fine Art, Design, Education, Humanities, or Social Sciences (doctoral studies an asset), with a minimum of five (5) years of experience working in a university writing centre or teaching and learning centre delivering programs to enhance student learning, or equivalent

Post-secondary studies in Art or Design or a current or past art or design practice an asset

Demonstrated experience working with graduate students in higher education with strong understanding of graduate student writing and academic support needs

Lived experience and understanding of the unique needs of IBPOC communities through active engagement in the IBPOC community

Excellent academic and professional writing skills with knowledge of different writing genres and disciplines; familiarity with both art and design writing genres a strong asset

Strong knowledge of writing centre pedagogy

Demonstrated commitment to the principles and practices of equity, anti-racism, and accessibility and experience promoting a respectful work and learning environment for students, staff and faculty

In-depth understanding of the writing and learning needs of English language learners in higher education; TESL Certification an asset

Demonstrated experience designing and delivering programming for diverse students; excellent group facilitation skills

Demonstrated experience collaborating with faculty in an educational capacity; experience developing and delivering faculty and staff professional learning programs an asset

Knowledge of critical discourses in the areas of art and design; an interest in the relationship between art and design practice and writing an asset

Excellent communication, interpersonal and leadership skills, and a demonstrated ability to exercise tact, sound judgment and commitment to confidentiality

Excellent organizational skills; demonstrated attention to detail, and the ability to prioritize tasks and meet deadlines

Demonstrated ability to work both independently and participate collaboratively in a team environment

Research, needs assessment, and data analysis skills an asset

Well-developed computer skills, including working knowledge of all Microsoft Office applications; facility with social media an asset

Compensation: OPSEU Unit 1, Appendix A, Grade A3; $25.97 to $33.69 per hour

Hours of Work: Monday to Friday, for a total of 35 hours per week. This is a temporary contract expected to continue until January 9, 2023.
