Job title: Project Coordinator – Construction

Job description: Reporting to the Facilities Manager, the Project Coordinator will partner with Project Managers, JOEY Corporate Office stakeholders and Joey Restaurant Operations to develop budgets, schedules, vendor coordination and financial reporting for new development projects, renovations, conversions and (R&M) repair and Maintenance. The position is based out of Vancouver with occasional travel to sites under construction.

The ideal candidate will provide support to Facilities and/or the Development/Construction Team. The Project Coordinator will be responsible for providing both project support and administrative duties to the Department ensuring that processes and protocols are adhered to. Managing of vendors and schedules throughout all levels of construction and that periodical reports are properly received, generated, and managed.

Requirements

  • Coordinate purchase orders, change orders, invoicing, and prime contracts for new construction and/or Facilities
  • Assist Project/Facilities Manager in scheduling, estimating and budget duties
  • Review tender quotes against project scope and specifications
  • Review contract terms and ensure the correct scope, shipping and taxes are accounted for in the purchase order and budget
  • Update and alert Managers of any discrepancies in billings and schedule delays
  • Receive, code, process and maintain all invoices and payment records specific to this team
  • Coordinate delivery of items to site
  • Report on project performance control and forecast spend to PM and/or FM
  • Weekly cost reconciliation to ensure spend to date is accurately reported
  • Communicate with all Corporate Office stakeholders, to ensure project milestones are known and met
  • Participate and update minutes for weekly project department meeting
  • Assist Project/Facilities Managers in post-construction activity, including updating punch and deficiency lists and communicate updates accordingly
  • Ensure project handover documents are saved for future reference

Required Experience

  • 1 ‐ 2 years of relevant work experience in a construction field is beneficial
  • An entrepreneurial mindset that can find innovative solutions to challenging problems
  • Post‐secondary education with a goal towards Construction/Facilities Management or related field an asset
  • Excellence in organizational, analytical, communication and interpersonal skills, with the ability to show proven examples of addressing communication challenges in the past
  • An action-oriented attitude, with proven examples of proactivity and initiative in the past
  • The ability to thrive in a high intensity and high-performance environment
  • An ability to summarize and present data concisely for executive‐level presentations and reports
  • Computer skills ‐ including competency in MS Office Suite
  • Restaurant Operations knowledge would be an asset
  • Experience in the construction industry would be an asset
