Job description: Position Overview

The Department of Community Health Sciences in the Cumming School of Medicine invites applications for a Training Program Administrator. This Part-time Fixed Term position is for approximately 12 months (based on length of grant funding), with the possibility of extension.

Reporting to the Associate Director, HE Research.

This position is for approximately 28 hours a week.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

PROGRAM COORDINATION AND ADMINISTRATION

Schedule, plan and coordinate delivery of online and in-person professional development program activities

Coordinate program team meetings

Coordinate the work of Assistant Program Managers, Communications Coordinator and contractors working on the NCTP

Work collaboratively with communications specialist to develop media updates, newsletters and other promotional materials

Manages own time effectively and ensures immediate reports to manager is kept informed of activities and progress of work

Ensures that core leadership team is kept informed of all activities and progress of work

Ensure finances going into and out of research funds align with budget projections

Prepare draft summary reports on NCTP progress for core leadership team

Assist with program reporting to CIHR regarding progress reporting and financial updates

Provide schedule and timeline updates

Assist with other Training program initiatives and coordination as needed

ORGANIZATIONAL / SCHEDULING FUNCTION

Organize and coordinate all activities related to administration, research, teaching and clinical requirements for the NCTP Studies Program

Schedule appointments, meetings, seminars, conferences associated with the training program which may require room bookings, setting up food requirements, preparing agendas, taking and transcribing minutes, preparing and distributing notices

Coordinate travel arrangements for program staff and guest lecturers

Assist in coordinating conferences, including arrangements for transportation, accommodation, preparation of itineraries, applications for funding, dealing with the travel agency/hotel, completing all necessary forms and requisitions

Arrange and contribute to administrative meetings and monthly program meetings

Research, initiate, design and draft various documents

Create and maintain filing/records system for all office documents, opening and distribution of mail, coordinate repairs to office equipment and more as required

Qualifications / Requirements:

  • At least some post-secondary education in a relevant field
  • At least 3 years of related work experience in an academic health research training program environment
  • Experience managing a CIHR grant funded training program is an asset
  • Experience with online meetings and delivery of online training programs is an asset
  • Experience with budget projections and reporting actual spending
  • Must be very proficient with Microsoft Office Suite, email and internet applications
  • Proven ability to learn and use specialized computer programs required
  • Proven ability to work in a confidential setting and demonstrate good judgment in dealing with sensitive and confidential situations required
  • Demonstrated ability to work in a fast-paced, high pressure, team-based environment with an ability to meet deadlines
  • Proven ability to embrace change in a dynamic environment
  • Excellent communication and interpersonal skills required
  • Proven organizational and time management skills with the ability to set priorities, multitask, meet deadlines and pay attention to detail
  • Strong written and verbal communication skills are a necessity
  • Ability to retain knowledge of a variety of informational resources and requirements
