What you’ll do
- Perform advanced secretarial services and confidential support to the division’s medical staff (Neonatologists, Clinical Associates, Clinical Fellows) and secondarily to the Business Operations Manager, Division of Neonatology & Neonatal Program.
- Screen and appropriately handle all enquiries for the division’s medical staff as well as those related to divisional clinical and academic activities. Screen and appropriately refer consultation and transport related calls. Follow through with the enquiries from current and potential medical staff.
- Assist in the development and maintenance of office systems to support clinical and academic activities of the division. Identify system or infrastructure problems and troubleshoots to ensure problems are resolved.
- Liaise with Neonatal Program staff, BCCH, BCWH, and Department of Pediatrics staff at all levels as necessary to support program activities. Liaise with external organizations to support licensing and program needs.
- Perform routine website administration activities for departmental team site, intranet and external web pages such as coordinating, updating, and posting content.
- Perform other related duties as required.
What you bring
- A level of education, training, and experience equivalent to grade 12 plus graduation from a recognized office administration program plus three (3) years recent related experience, in a healthcare or academic setting.
- Demonstrated ability to work both independently and collaboratively, resolve administrative issues/problems, prioritize workload, and to be flexible to meet and adapt to changes in organizational priorities.
- Demonstrated ability to use Microsoft Office applications, including word processing, spreadsheet and presentation software, at an advanced level.
- Demonstrated organizational skills and ability to prioritize workload and work under time pressures to meet deadlines.
- Demonstrated ability to communicate effectively both verbally and in writing, including the ability to respond professionally, courteously, and in a clear manner.
- Demonstrated interpersonal and time management skills.
- Demonstrated ability to record and transcribe minutes of meetings.
- Ability to type 50 w.p.m.
