Candidate Profile

This role will work with project engineers to lead document and information management of all projects during construction as well as assist in the construction administration of projects with local staff. A strong ability to support a team is required, as is the ability to interact and communicate with clients and contractors. Excellent writing skills and fluency with Electronic Document Management Systems (EDMS) like Newforma, Procore, Excel, as well as Bluebeam are needed in this role; as is a desire and willingness to learn new software and develop tools and processes. A document control, library tech, or records management background would be an asset, along with a passion for the construction industry. Must be able to support multiple (40+) projects at any given time.

Key Responsibilities

Duties include, but are not limited to:

  • Point of contact for questions about the document management process and workflows, as well as for various projects, training of staff, explaining EDMS tools, & providing resources
  • Setting up distribution lists in Newforma, uploading submittal checklists, tracking CA budgets
  • Coordinating internal and external deliverables with Contractors, Clients and Engineers for multiple projects
  • Participating in building and developing Client and Contractor relationships
  • Logging & tracking Submittals, RFIs, SSIs and other project documents while adhering to RJC quality standards
  • Functioning as prime contact for smaller scope projects. Independent coordination of smaller scale projects with internal & external individuals
  • Tracking deliverables and dates related to project close-out
  • Able to work alongside the Document Control Clerk as a team

Professional Qualifications:

Education:

  • Certificate/diploma from a project administration, library technology, or records management program is considered an asset.
  • Completion of Project Management Professional (PMP) certificate is an asset.

Experience:

  • 2-5 years previous office experience, preferably in a busy professional environment such as engineering, construction, architectural or another project oriented environment

Skills:

  • Commitment to client service with exceptional phone and email etiquette
  • Excellent written and verbal communication skills
  • Comfort with databases, basic coding, Excel and Excel formulas
  • Ability to take initiative with problem solving and “thinking outside the box”
  • Prioritization of competing deadlines/requests (internal and external), ability to multi-task and stay focused
  • Strong organizational skills
  • Intermediate to advanced skill levels with Excel, Adobe Acrobat, BlueBeam, Procore, Onware, Sharepoint, Aconex and Newforma
  • Focused attention on detail and accuracy
  • Fast learner with a desire to grow professionally and personally
  • Collaborative and communicative team player, but with ability to work independently under direction
  • Able to manage expectations of senior staff and multiple priorities
  • Positive and respectful attitude
