We are seeking a contract Executive Assistant to support with Executive Assistance responsibilities.

This role is primarily Executive Assistant responsibilities (80%), with additional responsibilities within the HR team supporting with administrative recruitment responsibilities (20%).

Responsibilities:

  • Coordinate senior management schedule’s and meetings
  • Actively participate in meetings to offer insight and add value to team priorities
  • Proactively prepare presentations and support teams with critical initiatives
  • Coordinate travel arrangements including travel documents (i.e. visas and passport renewals), flight schedules, hotel accommodations and transportation
  • Support senior management with invoicing and submitting expenses
  • Prepare reports, memos, letters, presentations and other documents using word processing, spreadsheet, database, presentation and/or desktop publishing software
  • Prepare various documents and presentations
  • Organize and coordinate internal and external meetings and events
  • Field general inquires from various sources through telephone or e-mail
  • Collaborate with other EA team members to cover reception duties office responsibilities
  • Support the Human Resources team with full-cycle recruitment activities across Canada

Experience/Education:

  • Post-secondary education relating to Office Administration, Business Administration, and/or equivalent combination of education and experience
  • Minimum 5 years’ experience providing support to senior managers
  • Experience working within the oil & gas industry will be considered an asset.
  • Admirable interpersonal skills and ability build relationship with and to interact with staff at all levels of the organization and outside personnel with professionalism, honesty, integrity, confidentiality, diplomacy and tact
  • Proficient with Microsoft Office desktop applications as well as database applications
  • Skilled in maintaining confidentiality
  • Skilled in applying problem-solving techniques to complications that may arise
  • Skilled in verbal and written communication
  • Ability to prioritize multiple activities with tight deadlines
  • Ability to adapt to changing working conditions
  • Ability to perform work accurately and thoroughly with a high attention to detail
  • Ability to work independently, at a fast pace, and produce quality work
  • Ability to be organized and follow a systematic method of performing a task
