About the Role
Reporting to the Director of Residence Services, the incumbent will be responsible for the daily financial activities of the department as well as departmental administration of campus financial systems and backup for administration of our housing software system. The incumbent will work closely with the Assignments Coordinator and Guest Services Coordinator to ensure that all housing applications, fee assessments, and student and casual guest accounts are duly recorded and accounted for. In addition, the incumbent will ensure that the department accounts payable, receivables, cash control and purchasing requirements are accurately recorded and meet the audit requirements of the University. The incumbent will be responsible for recommending strategies to the Director for improved cash handling, budget tracking, and timely accounts receivable/accounts payable management. The incumbent will ensure that all software systems accurately reflect the activities of the department including any management reporting mechanisms, interfaces, applications and that staff training requirements are met. The incumbent will develop the 3 year budget each year in consultation with the Director as well as provide quarterly year end projections. The incumbent will be responsible for regular audits of expenses, revenues and reporting of major discrepancies to the Director. This position is an integral and vital part of the overall departmental administration team.
Responsibilities
Responsibility One: Budget Management (40%):
Please note that the incumbent will also work on Budget Management with Wellness Services at MRU. This work is similar to Budget Management with Residence Services as below but incorporates other elements including revenue from grant funding.
- In consultation with the Director, develops the annual 3 year budget (involving approximately $6M in revenues and expenses each year), enters budget into financial reporting system, monitors transactions on a regular basis (approximately 4000 transactions/year), provides quarterly year end projections as well as at other critical times of the year.
- Submits applicable year end accrual and deferral journal entries.
- Participates in developing fee changes and rate structures.
- Reconciles asset and liability account balances on a monthly basis and submits to campus finance.
- Reconciles all revenue and expense backup with entries in the finance system.
- Works closely with the University’s Finance Department to ensure any corrections, journal entries, etc. are prepared and completed as required.
- Meets with various auditors regarding Tourism Levy, GST, and Financial transactions several times per year to prove accuracy and appropriate processes.
Responsibility Two: Accounts Payable (20%):
- Ensures all purchase requisitions and invoices are accurately recorded with appropriate instructions.
- Holds staff accountable for expenditures.
- Questions suppliers about discrepancies in expected charges/rates.
- Prepares cheque requisitions, purchase requisitions, internal chargebacks, journal transfer forms, and expense reports as necessary.
- Reviews and approves departmental purchase card expenditures.
- Calculates and remits Tourism Levy using Alberta Government website.
- Provides Payroll with housing benefit information for applicable staff.
Responsibility Three: Accounts Receivable (15%):
- Works closely with Assignments Coordinator and Guest Services Coordinator to ensure student accounts and casual guest accounts are accurately updated in a timely manner.
- Performs routine follow-up with Student Receivables in the Finance Department as well as individual Residence Services clients to assist with revenue collection including term charges, damage and cleaning charges etc.
- Issues installment plan reminders and follows up on late payments to ensure all fees owing are collected. Works closely with the Residence Life team to reach students with outstanding fees.
- Audits student charges to ensure accuracy.
Responsibility Four: Cash Control (20%):
- Ensures that appropriate cash control procedures that meet University audit requirements are in place and are being followed.
- Annually prepares and updates the department cash handling policies and procedures.
- Audits cash floats valued at over $6800 on a regular basis.
- Stocks change machines and collects coins from Residence owned machines.
- Reconciles daily deposits and investigates discrepancies to resolve appropriately.
- Completes internal control questionnaire each year end.
- Administers safe key/combination access for three safes holding cash and other items.
Responsibility Five: Systems Administration & Miscellaneous (5%):
- Acts as the department trainer for MRU Finance software (Banner)
- Participates in training of new staff with regards to entry of charges and payments in housing management system.
Acts as Administrator of accounts module of housing software system (create new charge groups, charge items and payment methods)
Acts as Backup to IT Coordinator as housing software system Administrator (creating new users.)
Is a member of the Director’s Advisory Group and an active participant in the group as well as in staff meetings and strategic planning sessions.
This position is a permanent full-time role working 35 hours per week.
Qualifications
- Strong computer skills with database computer experience and MS Office experience (with particular emphasis on Excel)
- Strong oral and written communication skills
- Ability to work under tight deadlines and heavy cyclical workloads
- University or college administrative experience will be a definite advantage
- Excellent team participation and track record
- Experience in a coordinator role with a business enterprise similar in scope to Residence Services
- Background in operating budget management, cash controls, accounts receivable/accounts payable management and audit skills
- Bachelor’s degree or equivalent
