We are seeking a Hotel Information System Specialist to join our Corporate Information Systems & Technology Department. The Hotel Information System Specialist will actively participate in all aspects of projects and platforms supported by the Hotel Information Systems team. The primary focus of this role is to identify the localization requirement across the globe ensuring hotel systems are setup based on local government regulations. The specialist will coordinate with business stakeholders and the legal department to review the current regulations and legislative changes in all regions. This position will provide guidance and support to business operations to identify and implement the required changes in PMS (Property Management Systems), POS (Point of Sale Systems) and other hotel systems. In addition, this role will liaise with property users and external vendors to implement global localization requirements such as fiscal integration, taxation, government data collection, and PII collection in both new and existing properties while adhering to Four Seasons Information Systems and Technology Security and Risk Policies.

Key Activities:

  • Provide ongoing support to Hotel System Managers on functional activities
  • Collaborate with internal and external stakeholders on local and fiscal regulation on daily basis
  • Review legal documentation and process to understand the methodology to fulfill the business requirement
  • Ensure the business requirement is aligned and comply to Four Season’s Information Technology Security policies and procedure
  • Establish a business process to implement and document all legislative changes
  • Leads and manage localization (fiscal) deployments in a timely manner
  • Provide system support for newly implemented system changes in PMS and related integrations
  • Proactively evaluate local requirement changes and maintain an internal Localization Sharepoint for audit purposes
  • Has a strong aptitude to explain complex concepts and strategies to the business, consultants, and vendors
  • Escalate critical issues with vendors
  • Flexible to work outside non-business hours if needed

System Support & Escalations

  • Work with internal and external stakeholders to identify local regulations and legislatives changes
  • Serve as the corporate point of contact for hotels to address legal requirement to vendor and internal support teams
  • Document all implemented changes with internal support and hotels teams
  • Submit and monitor common feature functionality requests from hotels and Corporate Project Teams to vendors
  • Document known issues for system version releases on local regulations across the globe
  • Attend regular business operations, legal and vendor meetings to review escalated issues
  • Work with various vendors to review, understand and improve functionality and integrations

System Standards

  • Maintain and update hotel application systems standards database on SharePoint
  • Maintain Hotel Systems Knowledge base to track change requests in ServiceNow
  • Maintain hotel system standards for hotels and vendors implementation teams
  • Keep track of current system and fiscal integration versions
  • Document and maintain hotel systems interface standards
  • Assist with developing system standards

System Implementations

  • Coordinate and implement system localization configuration and legislative changes in Hotel Systems not only limited to the PMS
  • Assist hotels to obtain approvals from legal and security teams for implementation
  • Aid in managing the legal implementation and fiscal deployment
  • Manage implementations of major hotel systems, including keeping timelines and schedules
  • Coordinate localization/fiscal implementations for new openings and existing property if required

Stakeholder Relations

  • Develop and maintain relationships with business stakeholders (Legal, Security, Room Operations, Finance and Marketing, Central Systems, Distribution)
  • Provide continuous support to Hotel Information Systems team and other internal support teams

Other

  • Perform special projects as requested by management
  • Review ongoing local regulation and systems updates from external vendors
  • Assist to perform fiscal integration testing as needed

Key Requirements and Qualifications:

  • Extensive PMS or ORS experience is required
  • A College or University degree
  • Three+ years’ experience with hotel systems
