We are currently seeking a dynamic, collaborative and super-organized Marketing & PR Coordinator to coordinate, execute and take care of marketing plans, trafficking of marketing material, and critical paths for our summer festivals and year-round programs. Position Title: Marketing & PR Coordinator
Department: Marketing
Reporting to: Marketing Manager
Type of Employment: Full Time

Summary of Function:
The Marketing & PR Coordinator will be responsible for assisting with coordinating and executing marketing plans, trafficking of marketing materials and implementing critical paths for summer festivals and year-round programs. This position will also act as the on-site PR coordinator to manage media attending events and supports the external publicity firm’s activities.

What You Will Be Doing:
Planning & Execution

  • Coordinates and assists with development of marketing plans for each project based on marketing strategies and as directed by the Marketing Manager.
  • Works with team members to ensure assets are delivered on time.
  • Executes plans by enforcing critical paths, coordinating the scheduling, processing and trafficking of marketing projects to ensure that projects are completed in a timely manner and in line with department and project scheduling.
  • Submits dockets and circulates to appropriate programming, production, planning and sponsorship participants, and routes projects for approvals.
  • Ensures that all marketing materials are strategically distributed across the campus at all times, as well as at off-site locations in accordance with the marketing distribution plan.
  • Works cross-functionally across digital, creative services, and marketing teams.
  • Develops, fosters and maintains up-to-date niche and community outreach lists and relationships for various festivals.
  • Assists with on-site media coordination and accreditation; provides support to external publicity and PR firm.
  • Assists with pulling lists and requested data in Tessitura.
  • Assists other team members as required.

Content Development

  • Develops target audience and outreach programs, mailing lists, and niche marketing opportunities.
  • Works with the Marketing Manager to coordinate campaign tracking measures, analyzes metrics, and prepares evaluation reports at the end of each campaign.

Communication

  • Maintains centralized overview of each project’s status for the information of all participants; keeps strict adherence to deadlines and ensure all parties are aware of timelines.
  • Liaises with departments and outside groups to coordinate efficient and timely project processing.

Requirements:

  • Post-secondary education in marketing, communications or business.
  • 2+ years experience in a comparable role in an arts, non-profit organization.
  • A self-starter who is confident taking initiative and ownership of projects.
  • Strong oral and written communication skills.
  • Meticulous attention to detail, with proof reading being just one example of where this ability will be applied.
  • Superior organizational, time and project management skills.
  • Excellent interpersonal skills – the ability to work in a team environment is crucial!
  • Creative, able to effectively coordinate online and offline marketing initiatives from implementation to completion.
  • Knowledge of WordPress and social channels, as well as experience with Google analytics and other web analytics programs.
  • Knowledge of CRM software ie: Hubspot.
  • Ability to work in a fast-paced environment where multi-tasking is the norm.
  • Interest and drive to keep up with the ever-changing landscape of marketing and ticket sales strategies.
  • Knowledge of Tessitura is desirable and considered an asset.
  • This position is based in Toronto. Currently our staff is working remotely, however we are working on a Return to Work plan. When it is deemed safe to re-open, this position will be required to work on-site at our downtown lakeside campus.
  • Must be legally eligible to work in Canada. Non-Canadian applicants must have a valid employment Visa and proper documentation authorizing their ability to work in Canada.

Company:

Expected salary: $45000 – 50000 per year
