Job title: Operations administrator
Job description: The primary role of the Operations Administrator is to work as part of a team in a fast-paced environment, supporting Loren Nancke’s administrative and internal accounting day-to-day functions including accounts receivables and payables and customer service. The Operations Administrator will report to both the Office Manager and Accounting Operations Manager to ensure that all current and newly implemented processes and policies are adhered to, focusing on productivity, quality of work and upholding exceptional client-service.
JOB ACCOUNTABILITIES
- Assist the Office Manager with daily tasks such as delivering and printing income tax returns, following up with clients, Audit Shield claim procedures, and completing other administrative tasks as assigned
- Ensure that all tax returns are delivered and filed on time
- Verify that all new client accounts are set with data consistency and integrity
- Design, implement, update, and coordinate the billing team procedures and daily operations such as invoicing and payments
- Prepare internal reporting and procedures of account receivables and payables
- Generate and prepare reports, both regular reporting and ad hoc requests, to support office decision making
- Coordinate with Office Manager to review customer service practices and implementation of processes to assist clients with queries and communications
- Prepare and maintain records, collect data and prepare routine reports associated with billing, printing and office inventory
- Assist the Accounting Operations Manager with tracking statistics, assigning work, and other duties as assigned
- Engage with prospective clients to understand their needs, adapting solutions and work accordingly to best meet client needs

QUALIFICATIONS
- Must be legally eligible and permitted to work in Canada
- Post-secondary education in Business Administration, Operations Management, or relevant education
- Minimum of 2 years of experience in a similar role
- Experience in the professional services industry, including public practice accounting, law or engineering, considered an asset
- Experience working in a time and billing management software system
- Exposure to Nitro, CaseWare, CaseView, Microsoft Suite, QuickBooks, Sage, Xero, TaxCycle and DoxCycle, PAGE considered an asset
- Computer and technology savvy with an ability to learn various computer programs quickly
