Your opportunity:

Under the general direction of the Manager, Finance and Administration, the Physics Finance, Purchasing and MasterCard Program Administrator is responsible for a broad range of activities related to the functioning of the Physics Accounting Office and serves as a primary resource on financial matters related to accounts payable and purchasing. Responsibilities include but are not limited to overseeing daily accounts payable and purchasing, overseeing the administration of the department’s MasterCard program, preparing standard financial reports, overseeing the handling of travel/personal expense reimbursements and accountable advances, and processing financial documentation through the AMS system (FIS/Logistics) and uSOURCE. The incumbent is responsible for advising and helping faculty members of the Department navigate institutional policies and processes for procurement, expense reimbursement, and purchasing card use.

Your responsibilities will include:

  • Monitoring department budget to ensure expenditures remain within budgeted allocations
  • Processing accounts payable according to the University Guide to Financial Management
  • Acting as a first point of contact for purchasing enquiries
  • Liaising with internal and external contacts to facilitate purchasing and/or procurement processes
  • Keeping well-informed on purchasing and/or procurement policies and procedures
  • Applying the University Guide to Financial Management and other applicable policies, agency and regulatory requirements
  • Processing purchase requisitions, orders, goods receipts, invoice receipts in FIS and uSOURCE
  • Generating standard financial reports

Essential Qualifications:

  • Bachelor’s Degree in Finance, Accounting, Business Administration or acceptable combination of equivalent education and experience.
  • Minimum three years recent and relevant financial/accounting experience in a post-secondary educational (preferred) / public sector with experience monitoring budget, managing various accounts/accounts payable and administrating purchasing activities.
  • Experience administering credit card programs, including issuing cards, monitoring expenditures, generating reports and conducting audits
  • Experience monitoring, reconciling and reporting funding accounts for budget and grants
  • Experience with all aspects of the Financial Information System (FIS), HRIS, and RIS modules of AMS
  • Experience preparing financial reports
  • Demonstrated knowledge and experience with basic accounting principles and GAPP
  • A broad knowledge of the University’s financial guidelines and procedures and accounting/procurement practices.
  • Highly-developed computer skills including advanced proficiency with MS Office (Excel, Word, Access, Outlook, SharePoint), in particular FIS, HRIS, RIS and Logistics modules
  • Excellent written and verbal communication skills
  • Strong organizational/planning abilities to meet deadlines
  • Ability to manage a heavy workload with changing priorities and deadlines, able to multitask

  • Excellent keyboarding skills with high level of speed and accuracy
