Job Description

Reporting to the Director, Research Operations, the Research Ethics Board (REB) Assistant is an integral team member who supports the efficient operations of the ethics office. This role works closely with the REB Chair and REB Coordinator to ensure the review and ethical oversight of research protocols at WCH. The incumbent must be willing to work collaboratively and cooperatively in a challenging and dynamic environment.

Summary of duties, but not limited to:

  • Triages incoming REB submissions and follows up with the submitter in the event any documents or information are missing
  • Issues letters after they have been approved by the REB coordinator or REB chair (initial approvals, amendments, annual renewals, terminations, etc)
  • Updates the REB database and ensures physical files are up to date
  • Plans monthly REB meetings, which includes all logistic and communications with REB members
  • Tracks study expiry dates and sends reminders to research staff with regards to renewal of REB applications
  • Supports completion of the Research Ethics Board annual report
  • Manages the general email and submissions through ethics@wchospital.ca
  • Issues invoices for studies sponsored by pharmaceutical companies
  • Archives expired and closed studies routinely
  • Addresses questions and provides information to research staff at WCH
  • Helps organize meetings between REB coordinator/ chair and research staff
  • Helps provide and present REB materials at internal educational opportunities/session for research staff.
  • Organizes bookings for conferences, finances and reimbursements on behalf of the REB chair

Qualifications

  • Undergraduate degree in a related field
  • 6 months to 3 years experience working in research in an academic or hospital setting
  • Knowledge of research ethics guidelines preferred
  • Experience in a research environment and/or an academic environment preferred
  • Excellent written, verbal, and interpersonal skills are essential
  • Excellent organizational skills with attention to detail
  • Strong time management skills as well as experience prioritizing and working in a dynamic environment
  • Demonstrated ability to take initiative and work independently
  • Demonstrated problem-solving skills and proactive approach to challenges
  • Demonstrated ability to work effectively with a wide variety of people at different levels while exercising discretion and tact
  • Experience working with Microsoft office (word, excel, powerpoint)
  • Good work and attendance record required
  • Demonstrated WCH vision mission and values
