About the faculty/service: Faculty of Social Sciences
The FSS comprises nine departments, schools and institutes, which offer undergraduate, masters and doctoral programs in both English and French. With its 10,000 students, 260 full-time professors, and wide array of programs and research centres, the Faculty of Social Sciences plays a key role at the heart of the University of Ottawa. Its graduate students are supervised by excellent researchers and undertake cutting-edge research in the Faculty’s masters and Ph.D. programs. Along with its complement of about 100 administrative employees, the faculty is proud to provide a collaborative working environment that inspires new ideas, encourages creative ingenuity, and promotes excellence.

Position purpose:

Under the supervision of the Operations Coordinator, ensures the efficient coordination of Public Administration Programs (PAP) for the School of Political Studies. Responsible for academic and administrative activities and programs in accordance with the academic and administrative regulations of the unit, the Faculty of Social Sciences and the University. Provides courteous and prompt service that projects a positive image of the University of Ottawa to internal and external constituencies, thereby contributing to the university experience.

What you will bring:

  • Knowledge of administration and management of academic processes normally acquired through post-secondary studies or equivalent experience.
  • Minimum of two (2) years of demonstrated experience in a similar role.
  • Knowledge of University structure and regulations.
  • Extensive knowledge of the academic unit’s programs and academic regulations and procedures regarding admission, enrollment and program requirements.
  • Customer service experience in an academic support role to provide advice and guidance to students.
  • Experience in event organization is an asset.
  • Experience analyzing academic files and procedures.
  • Experience using computerized systems: word processing, database, spreadsheet, e-mail, Internet, web content management as well as academic and financial systems.
  • Experience in bilingual administrative writing.
  • Demonstrates meticulousness while entering data and transcribing information in the computerized academic file system.

Bilingualism: French and English (spoken and written); to be considered for this position, candidates must be rated at the Low Advanced proficiency level or higher for both oral comprehension and reading comprehension in their second official language. The rating is determined by a proficiency test designed by the Official Languages and Bilingualism Institute.
