Job Summary

As a member of the Student Services team, the Coordinator is responsible for investigating, interpreting, and advising students on a variety of complex Faculty of Law academic regulations, policies and procedures and University regulations and thus will ultimately require an extensive knowledge of Faculty of Law programs, courses, policies and procedures and University regulations. The Coordinator will work closely with the Manager, Academic Administration and Student Services, in the academic administration of the JD and JD/JID program and the delivery of student services. They will manage the exam coordination for the programs, including exam accommodation and exam deferrals. The Coordinator will work closely with the Associate Dean, Academic and Student Relations in their processing of grades and administration of awards and scholarships. The position works extensively with Banner SSB/INB, Advisor Services and Student FAST, including grade entry and course registration which requires accuracy and confidentiality.

The position acts as an office team leader in the absence of the Manager, Academic Administration and Students Services and the Associate Dean. They will also be required to perform other duties similar in scope and complexity within a team oriented environment.

Job Requirements

Skills:

  • Strong administrative and organizational skills including a high degree of attention to detail, time management, and ability to multi-task in a fast-paced environment.
  • Strong communication and interpersonal skills with the demonstrated ability to relate well and work effectively within a team environment as well as with students, the larger UVic community and external agencies.
  • Ability to prioritize responsibilities with a multi-faceted workload and ensure accurate results with a minimum of direct supervision.
  • Demonstrated ability to effectively manage large volumes of work and meet tight deadlines in a work environment that experiences frequent interruptions.
  • Excellent writing, editing and proof reading skills.
  • Ability to understand, interpret and explain complex program regulations and policies.
  • Ability to handle difficult interactions with tact and diplomacy; exercise independence, initiative and good judgement.
  • Strong cultural and inter-societal acumen is required, and in particular Indigenous acumen.

Specialized Knowledge/Education:

  • Knowledge, experience and high level of proficiency with Microsoft Word, Excel (including mail merges), Outlook Calendar, Zoom, MS Teams and Cascade.

Experience:

  • At least three years’ experience in a coordination or senior administrative support role, preferably in a post-secondary academic setting.
  • Experience in effectively maintaining the confidentiality of highly personal and sensitive information.
  • Experience in providing direct customer service to a variety of stakeholders including students, faculty and the general public and the ability to problem solve and handle each situation with tact and professionalism.
  • Experience with Banner SSB/INB, FAST Student and DCU is strongly preferred.
  • Knowledge of UVic policies, procedures and regulations regarding students an asset.
