Position Summary
Every year, tens of thousands of donors help enable the nearly 3,000 missions we embark upon. As the Team Lead – Donations Administration, you are the leading voice of STARS to many of those donors. Daily, you will lead the donations processing team ensuring our donors have a seamless giving experience and ensure the financial processes are integral and in alignment to relevant regulatory bodies.
Our Team Lead – Donations Administration is responsible for upholding administrative practices and policies within the STARS Foundation and helping ensure continuity between bases and teams helping process donations.
You thrive on managing multiple tasks and priorities in a high-volume environment while utilizing various software applications. You are eager to mentor and develop up and coming talent in donations administration and are keen to take a proactive approach when looking at and seeking ways to improve processes and streamline the way work is done to allow all to do their best work each day.

Areas of Responsibility & Accountability
Leadership
- Provide leadership, mentorship and oversight to the Donations Administration team;
- Develop and maintain strong relationships with other leaders and team members, external auditors, and banking syndicate;
- Participate in the Fundraising Operations Leadership team to ensure the department’s overall effectiveness;
- Managing the annual performance review process, participating in the annual merit consideration process, ensuring timely and ongoing feedback is delivered to team members;
- Advocating for the team;
- Sharing innovation ideas, actively soliciting process improvement ideas;
- Active collaboration with other Foundation and Finance leaders;
- Setting the bar when it comes to team communication;
- Leading team meetings;
- A role model in living STARS values out loud each day;
- Play an active role in owning personal development, demonstrates application of learnings and holds self-accountable for keeping current on trends in the charitable sector.
Donations Administration
- To coordinate and implement effective and efficient procedures within the donations portfolio; These policies and procedures will typically involve:
- receiving, depositing and receipting donations;
- tracking and responding to honor/memorial requirements;
- ensuring compliance with CRA receipting guidelines;
- ensuring effective response to donor inquiries, as required;
- generating effective and timely reports, as required;
- developing and sending special letters of thanks;
- To maintain hard copy files and electronic records of all donations received by the organization;
- To coordinate the distribution of donation receipts;
- To liaise and collaborate with the Finance team to ensure accurate donations processing and a smooth accounting close for each month, quarter and year end cycle;
- To coordinate personal responses to specific donor inquiries, as required;
- To facilitate team scheduling through high volume donations cycles, ensuring ample department coverage at all times;
- To cross-train Donations team members for all functions to eliminate redundancy and ensure that operational requirements will be met;
- Other duties as required.
Education, Experience and Personal/Professional Attributes
- Minimum of 5 years’ experience in a not for profit environment or in a corporate giving role;
- Minimum 5-7 years in a dedicated customer service role directly interfacing and managing relationships;
- Minimum of 3 years direct people leadership experience;
- Excellent communication skills, both written and verbal, and the ability to work effectively in a team environment and independently;
- Excellent priority management and strong organizational skills with a passion for working in fast paced, evolving environment;
- Demonstrates comfort in a fast paced work environment, comfort with recurrent change and is a strong advocate driving change implementation;
- Bring to life team member engagement plans and solicits feedback from team members on an ongoing basis;
- Manage the annual performance review process in a thoughtful, development focused way;
- Implicit attention to detail coupled with expert level knowledge of MS Office applications, specifically Excel.
