Job description: Position Overview

The Office of VP Research – Administration invites applications for an Administrator, Social Innovation Initiative. This Full-time Fixed Term position is for approximately 12 months (based on length of grant funding), with the possibility of extension.

The Social Innovation Administrator reports to the Manager, Social Innovation (hereafter SI), with accountabilities to the Office of the Vice-President (Research). This position provides administrative assistance to the Director, Social Innovation, and performs general administrative duties to support the Social Innovation Initiative (hereafter SII) while working closely with the Manager, Social Innovation, and stakeholders across campus to implement, execute, and promote the SIIs priorities.

The University of Calgary’s strategic vision and aim is to be Canada’s most entrepreneurial university creating a Social Innovation Initiative that catalyzes activities to enable faculties to engage in social innovation and help scale existing academic experience, disciplines, and expertise to advance these efforts. The Administrator will support the Social Innovation Initiative’s Director to execute, implement, and report on the SII’s activities and outcomes as guided by the strategic plan.

The successful candidate will provide a high level of service to diverse stakeholders across the university and interact with leaders in various community agencies in Calgary. This position requires excellent communication skills, the ability to use discretion, maintain professionalism, confidentiality and demonstrate adaptability while providing efficient and high-quality service.

The role requires an ability to deliver on responsibilities within minimal direction. The Administrator requires strong organizational skills and analytical and problem-solving abilities to manage complex tasks and issues. The nature of work at times is driven by deadlines and shifting priorities requiring attention to detail, anticipating needs, and planning. A strong understanding of university structures and processes is required.

Moderate to high stress and pressure throughout the year, particularly during peak periods and deadline driven projects, may be encountered.

This position and is part of the AUPE bargaining unit. The normal workday is 7 hours per day, five days per week, Monday through Friday. Additional hours during the evenings and/or weekend may be required occasionally. Local area travel may be required.

The Administrator is responsible for providing administrative support to the Director, Social Innovation Initiative, and Manager, Social Innovation, and to perform general administration duties that support the Social Innovation Initiative. This position is customer service-oriented and is required to interact with faculty, staff, and the public.

The position will work closely with the Manager, Social Innovation, providing administrative services and responsibilities associated with the implementation of project activities.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

Administrative Support

  • Provide administrative support for the Director, Social Innovation including managing multiple calendars and correspondence
  • Act as a first point of contact for university and community stakeholders
  • Screen requests and provide information and guidance to internal/external stakeholders seeking information about social innovation at the University of Calgary
  • Respond to general written and verbal enquiries from stakeholders in a prompt, efficient, courteous, and professional manner or redirect enquires appropriately
  • Coordinate meetings including scheduling and setting up modality (e.g., Zoom, MS Teams, other) in calendars

Operational/Administrative Support

  • Provide office duties, and coordination and administration of SII programs and services
  • Administer, track, and reconcile all expenses for the SII (e.g., Honorariums, general expenses, invoices) and manage records according to university policies
  • Attend team and appropriate community meetings, record and distribute minutes and flag action items
  • Maintain and organize SIIs filing structure

Other duties

  • Provide administrative support to engage community stakeholders
  • Provide support to community stakeholders in navigating university systems and campus related enquiries

Qualifications / Requirements:

  • Post-secondary certificate, diploma, or degree
  • 5+ years of progressively responsible professional administrative experience, preferably in a post-secondary institution
  • Highly proficient with Microsoft Office applications (Word, Excel, PowerPoint, SharePoint, Outlook), Adobe Acrobat
  • Advanced intrapersonal and customer service skills
  • Strong organizational, communication (verbal and written) skills
  • Strong problem solving and analytical skills with proven ability to adapt quickly to competing/changing priorities
  • Demonstrated ability to work independently and in a team environment, with minimal supervision
  • Knowledge and understanding of budget management
  • Demonstrated ability to take initiative
  • Familiar with Human Resources Information Systems (e.g., PeopleSoft, eFin) an asset
  • Ability to compile, draft, organize, and maintain correspondence, spreadsheets, reports, presentations, and minutes
  • Ability to develop strong positive working relationships
  • Requires knowledge of the strategic direction and priorities of the university; understands and works effectively within the university context, structure, governance and decision-making processes, and operations
  • Ability to speak and represent clearly and succinctly to distill complex information, listen effectively, and administer tasks that have the desired impact
  • Knowledge and understanding of social innovation-based work is an asset
