Job description: Wood currently has an exciting opportunity for a site Administration Assistant. Reporting to the Construction Manager, this position is located at our project site in Sparwood, British Columbia. This role has overall responsibility for overseeing all administration and secretarial duties at site. Key Responsibilities:
- Provide administrative assistance to the Construction Manager,, and other team members, as required
- Prepare, format and distribute documents using Word, Excel, PowerPoint, Outlook
- Monitor and prepare status progress reports on actionable activities
- Develop communications, presentations and preparing reports – HSSE and weekly/monthly construction reports
- Assist teams with project administration components
- Maintain and file correspondence in accordance with Wood procedures
- Organize and coordinate staff, client, company and senior management meetings and functions
- Coordinate and manage SharePoint sites and provide training, where necessary
- Maintain consistency in documentation for format and content, including editing and proofreading documents
- Conduct general administrative duties such as filing, photocopying, coordinating travel, maintaining schedules, preparing expense reports, arranging couriers and archiving of files
Skills / Qualifications
- Post secondary education in business and computer courses combined with broad company and business experience desired
- Familiarity with the formation of construction contracts including service and consultant agreements/contracts – from contracts posting
- Knowledge and experience in emergency response, occupational health, incident investigation, risk management, and behavioral based safety – from previous HSSE posting
- Advanced level of proficiency in a Windows-based environment including MS Office applications (Word, PowerPoint, Excel and Outlook)
- Excellent writing and editing skills with acute attention to detail
- Proven administrative, personnel management, communication and organizational skills
- Current authorization to lawfully work in Canada without sponsorship from Wood is required
- Ability to work at remote location in a rotation of 7 days on and 7 days off
