Job title: Administration Assistant and Transactional Support

Job description: PURPOSE:

The primary purpose of this position is to assist with the management of A/P, A/R, Accounting, and Administration activities using the company’s ERP system and other resources.

Responsibilities will include, providing administrative assistance, filing, of related documents and handling daily activity. These duties will apply to Ideal Warehouse Innovations and all related companies.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES (the incumbent may be asked to perform any combination of the following functions):

Finance & Accounting:

  • Process Accounts Payable invoices
  • Process invoices from supplier portals (e.g., utilities)
  • Match packing slips and POs with invoices
  • Filing invoices
  • Inventory receiving in accounting system (All US-CAD Locations except for Woodbridge)
  • Customer and vendor credit applications
  • Short-pay follow-ups
  • Back-up Bank ACH approver to CFO
  • Assist with collections; Email customer account statements and follow-up on payment status
  • Assist with following up and resolving freight disputes (e.g., redeliveries, limited access delivery, deficit weight, etc.); 2-3 hrs per week
  • Follow up with resale certificates and W-9s for US customers
  • Back-up to Accounts Payable
  • Review Open Sales Orders
  • Review Open Purchase Orders
  • Bank reconciliations for smaller companies
  • Inventory account reviews and adjustments
  • Address email general inquires from customers and suppliers (e.g., address changes, remittances, etc.)
  • Daily stocking of boardroom supplies
  • Back-up to incoming calls

Month-end:

  • Review Open Sales Orders
  • Review Open Purchase Orders
  • Bank reconciliations for smaller companies
  • Inventory account reviews and adjustments

Administration:

  • Address email general inquires from customers and suppliers (e.g., address changes, remittances, etc.)
  • Daily stocking of boardroom supplies
  • Back-up to incoming calls

Requirements

2+ years of accounts payable, general accounting, and administration experience

Strong Excel skills

Microsoft Dynamics / Navision or other ERP system experience nice to have
