Job description: The University of New Brunswick Fredericton welcomes applications for the position of Academic Administration Officer with the Office of Vice President Academic. This is a continuing, full-time (36.25 hours per week) position with the APT employee group. The position is funded by the University Budget with a salary range of $52,104 – $67,734 per annum.

This position is the University’s Academic Administration Officer reporting to the Vice-President Academic and liaising with the President’s Executive Team, Deans, Directors, Chairs, People & Culture, Resource Planning and Budgeting, and Financial Services on matters relating to academic administration (faculty members, teaching professors, librarians, archivists, research associates, visiting scholars, adjunct professors, administrative assistants).

This position is accountable for standardization of procedures and adherence to collective agreements and University policies in the recruiting, hiring and ongoing employment of academic employees and senior administrators.

The roles, responsibilities and reporting structure will evolve as the university implements a provost as the senior academic lead over the next year.

Position summary:

  • Provide a liaison function on academic relations, including relevant University policies and procedures for the academic deans, departmental chairs, directors and administrative secretaries. Such liaison includes providing information and discussing the implications of specific academically-related clauses within the AUNBT Collective Agreement.
  • Act as the main contact for day-to-day collective agreement and academic administration issues for both campuses and provide information on past practices for People & Culture.
  • Report to the Vice-President Academic and provide appropriate liaison with People & Culture and the Association of University of New Brunswick Teachers (AUNBT) on all matters relating to academic administration.
  • Act as a resource for Vice-President Academic for academic position tracking, setting complement replacement values and in-depth knowledge of academic salaries.
  • Maintain a complete inventory and take appropriate action of academic administrative matters including: monitoring the recruiting process for all new appointments to ensure proper procedures are followed, ensuring recruitment and relocation funds are allocated to Faculties/Departments, reviewing contracts , monitoring the academic assessment process to ensure faculty members and others eligible for probationary review, tenure and promotion are dealt with in accordance with the full-time Collective Agreement and in a timely manner.
  • Prepare assessment cases for the three Vice-Presidents’ review and approval.
  • Assist the Vice-President Academic in academic administration relating to disciplinary action and grievances.
  • Ensure material entry and maintenance of Official Files is undertaken correctly.
  • Develop, implement & maintain electronic records for official files including security of and access to these files.
  • Coordinate reviews and searches for Deans and other senior administrative staff reporting directly to the Vice-President to ensure standardization of review/search procedures.
  • Assist Vice-President with the preparation of ‘requests for proposals’ for external searches.
  • Provide monthly reports on academic staffing for the Board of Governors.
  • Attend Deans Council, take notes and provide follow-up as appropriate for the Vice-President Academic
  • Review preliminary student opinion surveys and report any anomalies before distribution and placement in official files.
  • Maintain the academic data base within the Colleague system. This task includes ensuring specific data is entered and correctly maintained such as: appointments, leaves, promotions, administrative appointments, workload reductions, resignations (exit survey), and retirements.

Requirements/Skills:

  • Post-secondary education in a related field with 7-10 years of senior administrative experience. A combination of education and experience may be considered.
  • Superior organizational, analytical, administrative and communication (with accuracy, clarity and respect) skills.
  • Ability to work independently, effectively and efficiently with discretion and tact in a highly confidential environment.
  • Ability to work with attention to detail and to high degree of accuracy.
  • Extensive knowledge of University policies and procedures and collective agreements would be considered an asset.
