This position reports to the Community Manager. The Administrative Coordinator is responsible for providing leadership and direction for the daily activities of the administrative team, and assist community management in administrative and clerical support for organizational activities needed to support the community, to achieve the standards established by Silvera.
Shifts are Monday through Friday, ONISITE, from 7:30 AM – 4:00PM (80 hours bi-weekly)
KEY RESPONSIBILITIES
- Serves as the primary point of administrative contact for all internal and external inquiries.
- Provide support to the administrative function including on boarding, new hire set up in payroll, training and employee record keeping.
- Understands and follows all health and safety policies and procedures (including residence’s fire and safety programs). Works safely to reduce the risk of injury to self, other staff members and residents. Promptly reports all actual or potentially hazardous situations and reports incidents.
- Ensure compliance to Silvera’s Outbreak Guidelines and the Alberta Health Services outbreak protocols.
- Arranges meetings, conference calls and appointments.
- Assists with the Community Manager to maintain and build occupancy, complete leases and conduct tours of the buildings while promoting a sales atmosphere.
- Supporting sales team members with internal and external initiatives that enhance the reputation of the Residence and maximize lead generating activities.
- Prepares reports, information packages, mail outs and other projects required by the community.
- Ensure all inventory controls, standardized records and reports are completed.
- Track and maintain community financial assets, order supplies, and process/distribute invoices to appropriate departments to code and process.
- With the Community Manager, prepare supporting material for distribution, letters, memo’s and any correspondence required by Silvera to ensure the timely distribution.
- Review and triage community incident reports.
- Complete the process and procedures as set out in Silvera’s move-in, move-out process documents.
- Oversee the implementation and compliance with Accounting for Residents procedure as established by Silvera (policy 7.60).
- Maintains and prepares a complete set of accounting records for the Community including billings and inquiries from residents. Prepares bank deposits, maintains office budget and petty cash.
- Ensure minutes of community meetings are prepared for review by the Community Manager.
- Coordinate resident orientation and checklist, including Welcome bag delivery.
- Enter maintenance requests or repairs into Info Tracker.
- Organize and schedule meetings and appointments, this may include set up of the room and resources.
- Coordinate with IT department on office equipment procurement and repairs.
- Other tasks as assigned
QUALIFICATIONS
- Minimum of 2 years administrative experience.
- Diploma or certificate in general administration or a combination of experience and education may be considered.
- Intermediate to advanced proficiency with Microsoft Office products (Excel, Outlook & PowerPoint).
- Previous supervisory experience is preferred.
- Familiarity in housing or property management is considered an asset.
- Experience with budgets and basic accounting/ bookkeeping experience.
- Ability to interact with all levels of staff, residents and their family members and other professionals with a high degree of patience with a solutions based attitude.
- Good communication skills (both written and verbal).
- Initiative, good judgment and supervisory abilities.
- Organized with demonstrated time management skills.
