The Administrative Assistant performs administrative duties for the Corporate Administration Office. Responsibilities include screening calls, making travel and meeting arrangements, researching and developing responses to queries, preparing reports and financial data, assisting in the development, monitoring and preparation of Executive Team meetings and Board meetings including agenda and supporting documentation development, and customer relations. The incumbent works closely with the Executive Assistant to the CEO and supports and provides coverage to the position as required.

Shift Rotation/Hours of work: 08:00 to 04:00, rotating

Qualifications

  • Completion of a post-secondary diploma program in office administration or a recognized secretarial program plus five (5) to seven (7) years’ recent related secretarial experience including one (1) year experience in supporting governance/senior executive committees specifically in agenda coordination and minute taking or an equivalent combination of education, training and experience.

  • Excellent communication and interpersonal skills.
  • Ability to be discreet and maintain confidentiality.
  • Ability to liaise effectively with external agencies and internal departments.
  • Ability and willingness to attend meetings outside regular hours of work.
  • Demonstrated skill in issues analysis and resolution.
  • Ability to organize and prioritize work.
  • Ability and willingness to travel within the Northern Health region for Board meetings.
