Job description: As the first university-based common law school in the nation, the Schulich School of Law offers a unique and enlightened approach to legal education. Under minimal direction, the Administrative Coordinator is responsible for coordinating and implementing logistics related to the Juris Doctor (J.D.) student registration process, examination accommodations, the Academic Calendar and course selection process, discretionary awards, and providing administrative support for the Office of Student Services and Engagement. This position reports to the Assistant Dean, Student Services & Engagement, and to the Associate Dean Academic on some matters.
Key Responsibilities

– Coordinate Juris Doctor student registration processes for over 500 students. Monitor student registration and provide registration overrides for non-traditional course offerings. Organize the online registration process: liaise with the Registrar’s Office to determine registration dates and procedures; ensure the system is properly set up for law student registration; assist students with questions or difficulties relating to course registration.

– Assist with auditing student course registrations to ensure all students meet the J.D. degree requirements at key points throughout the academic year.

– Coordinate arrangements for students receiving special accommodation for exams (e.g.: book rooms, set up equipment, arrange for proctors, coordinate arrangements and paperwork with the Student Accessibility Centre).

– Coordinate revisions, additions and updates to the Schulich Law Calendar with faculty and various Law school departments and institutes using Registrar’s Office systems; review for errors and inconsistencies and edit as necessary; liaise with Registrar’s Office to ensure all updated calendar materials for Schulich Law are provided in the required format by the deadline each fall term.

– Provide administrative support for the Office of Student Services and Engagement, which includes serving as the first point of contact, drafting correspondence and documents, scheduling meetings, responding to inquiries (email, telephone, in-person), and staying up-to-date with policies, procedures, and projects.

Qualifications

Business/Office Administration Diploma with three to five years’ related work experience in a student services setting (or equivalent combination of training and experience) is required. Proficiency in Microsoft Office, including advanced knowledge of Excel, is required as well as the ability to learn new software programs and effectively trouble-shoot. Excellent written and oral communication skills are vital to this role. Excellent organizational skills are key, along with the ability to multi-task and maintain a high degree of accuracy. Candidate must demonstrate strong initiative, superior interpersonal skills and the ability to maintain composure in challenging situations.
