Job description: Position Summary:

Reporting to the Executive Director and University Registrar of Enrolment Services, the Associate Director Finance and Operations is responsible for budget development, planning, forecasting, and financial reporting. The Associate Director, Finance and Operations oversees Human Resources services. In collaboration with the ES Leadership team, ensures that operations across all units are carried out smoothly and in compliance with McGill Procedures, as well as Enrolment Services’ strategic direction. Acts as financial advisor to the Executive Director and Registrar and unit Leaders on performance, cost saving initiatives, and business opportunities and risks.

Primary Responsibilities:

  • Develop overall budget for Enrolment Services, scenario planning, forecasting, performance scorecards, and reporting as well as ad hoc analyses on key business initiatives to support decision making by Executive Director. Develop budgets for each of Enrolment Services sub units, and engage Associate Directors and managers to ensure alignment of financial and operational goals and provide efficient support for operations.
  • Lead the ES Finance and Operations Team to achieve unit objectives and support ES sub units. Lead the annual planning process within ES, partnering with business stakeholders within ES, across SLL and in other areas of the University.
  • Oversee, in collaboration with Procurement Services, all policies that affect the purchasing of goods and/or services for ES.
  • Develop an efficient and accurate long-term planning process to facilitate ES HR and finance business needs.
  • In collaboration with the Director of IT services, ensure proper inventory of management information systems leveraging on IT equipment and license stock availability, while maximizing IT budget.
  • Identify opportunities and risks, while managing business expenditures to budgets and forecasts throughout the year.
  • In collaboration with the ES Leadership, identify cost saving initiatives, operational efficiency, best practices, and cost effectiveness through process review and design across ES
  • Undertake cost benefit analysis while ensuring finance implications including compliance are clearly identified and understood.
  • Identify and drive improvements across key financial processes, optimizing transactional activities and streamlining processes.
  • Lead, review, and analyze monthly/quarterly financial forecasts and results across Enrolment Services’ portfolio.
  • Act as finance advisor to the Executive Director and University Registrar, Enrolment Services.
  • Member of the ES Leadership Team.
  • Oversee Enrolment Services Human Resources and ensure compliance with University personnel policies and procedures including payroll process.
  • Oversee ES office and building administration, including support for unit leaders.
  • Attract, develop, and retain high performing staff within ES Finance and Operations Team to ensure mid to long term objectives are achieved.

Other Qualifying Skills and/or Abilities

Excellent financial management, analytical, planning, and problem solving skills. Ability to process and analyze data. Ability to synthesize information from multiple sources to form a cohesive financial plan. Experience implementing new IT systems. Project management and planning skills. Ability to manage several projects simultaneously, complete projects efficiently and on deadline, sometimes with short lead-time.

Ability to work independently and as part of a team. Customer service skills. Effective and influential communication and presentation skills. Experience using Banner HRIS, FIS, and Budget, spreadsheet and reporting packages (Crystal Reports), IT environment (IQWare, ITC, Quantum, Micros POS). Knowledge of McGill self-financing operations. Familiar with procurement processes (RFP, RFI), Payroll. English, spoken and written. French, spoken and read.

Minimum Education and Experience: Bachelor’s Degree 5 Years Related Experience /

Annual Salary: (MPEX Grade 07) $80,550.00 – $120,820.00
