We are seeking a confident and organized self-starter to join our team as a Billing Administration Clerk. This is a remote position working the hours of 9:00am – 5:00pm EST to support our GTA team.

The successful candidate will demonstrate initiative, a “can do” attitude, strong communication and organization skills, and a desire to work in and promote a client-first focused culture. Being a contributing team player is essential as a member of the wider Billing Administration team along with work hour flexibility to accommodate business needs.

In this role, responsibilities include:

Client Billing Administration:

  • Process time transfers, narrative edits and fee adjustments on pre-bills as instructed by billing lawyer
  • Monitor billing lawyers’ progress throughout each billing cycle and ensure they are meeting or exceeding billing objectives
  • Prepare and review invoices to ensure accuracy
  • Processes electronic invoices and work with external e-billing services to resolve e-billing issues
  • Troubleshoot and resolve billing issues with external clients
  • Process miscellaneous billing related tasks including receipt of remittance, reversal of invoices, receipt of trust funds, preparation of exception rates, etc.
  • Coordinating with Accounting department and local signing parties/wire approvers to facilitate cheque certification and wire transfers for real estate closing transactions

General Administrative Support

  • Preparing expense requisitions
  • Opening new files
  • Requesting conflict searches
  • Audit inquiries
  • Time entry
  • Updates and data entry into Firm’s contact management system
  • Other administrative tasks as needed

To be successful in this role, you will possess:

  • Community College education or equivalent combination of work experience
  • Administrative experience in an office setting and/or relevant certification
  • Strong attention to detail, accuracy and excellent follow up skills
  • Excellent time management skills and ability to work effectively under pressure and meet tight deadlines
  • Ability to work in a team environment or independently as required
  • Excellent client-service orientation
  • Superior interpersonal skills with the confidence to deal with all levels of seniority
  • Strong work ethic, “can-do” approach and positive team attitude
  • Excellent MS Office skills with particular proficiency in Excel
  • Ability to effectively communicate both verbally and in writing
