Job Description

The incumbent has the responsibility of assisting and supporting the movement of mail relating to Sortation cases, equipment and all necessary operating supplies. The incumbent also receives and processes incoming and outgoing mail for the mailroom.

Job Responsibilities

Below are the main job requirements and responsibilities for the Clerk, Administration Inventory Support.

  • Maintains inventory of non-stationary necessary supplies. Liaises with various functional groups with respect to national contracts and supplier agreements; verifies supplier invoices against service provided, resolves discrepancies and ensures prompt payment of all invoices to external supplier. This includes confirming receipt, confirming payment and distributing goods to employees.
  • Monitors usage and identifies inventory requirements. Responsible for identifying short and long term inventory trends. Assembles, upgrades and modifies general equipment as per operational needs.
  • Compiles and processes information following pre-established guidelines. Performs data entry in order to create lists, reports, and spreadsheets as required.
  • Controls movement of Sortation cases and of equipment on plant floor as per requirements
  • Produces labels and signs to properly identify equipment to ensure proper sortation by clerks by inputting information on walk restructure into computer system and designing/printing signs and/or labels.
  • Responsibility to maintain accurate records, assemble, analyze and compile information, statistics and reports; audits all documents to ensure data accuracy and integrity. Identifies and/or amends any anomalies and ensures corrective actions are undertaken.

  • Working knowledge of various corporate menu driven systems as well as software packages. Ability to create and maintain accurate lists such as label inventory in order to track volume variations.
  • Communicates with employees in the exchange of information, providing and receiving advice or guidance pertaining to floor layouts and/or delivery of supplies.
  • Receives and inventories new general equipment. Unpacks and assembles equipment, stencil inventory number and inputs information into equipment log book.
  • Prepares work area for Christmas operation by setting up all sortation cases required.
  • Receives and processes incoming and outgoing mail; sorts, opens and identifies correct station for delivery. Weight and meters outgoing mail, prepares and checks packages and dispatches all outgoing mail to the plan. Receives and sorts incoming mail for all departments within the PPC and prepares them for pickup by the various areas.
  • Performs other related duties as required.

Qualifications

Education

  • Completion of secondary school according to provincial standards or equivalent (GED) is required.
