The Integrated Transportation Planning Branch (“Branch”) resides in the Major Projects, Infrastructure, and Properties Department of the Ministry of Transportation and Infrastructure. The Branch’s vision includes elevating the profile of BC to become the preferred gateway for Asia Pacific trade, and to have the most competitive, safe, sustainable and reliable supply chain on the west coast of the Americas, linking Asia to North America via British Columbia. The Branch provides, directly and through partner agencies, an efficient, integrated and cost-effective transportation system that contributes to a vibrant economy, environmental sustainability and supports healthy, livable communities. The Branch works closely with other provincial ministries (such as Jobs, Economic Recovery and Innovation, Tourism, Arts, Culture and Sport, Municipal Affairs, Energy, Mines and Low Carbon Innovation, Forests, Lands, Natural Resource Operations and Rural Development and Finance), other levels of government (Canada, Alberta, Saskatchewan, First Nations and municipal) and the private sector (port, railways, terminal operators, trucking industry, shippers, distribution centres, airports, etc.) to initiate, deliver and support key infrastructure, performance, access and reliability improvements to create a modern, seamless, effective supply chain. This includes supporting the advancement of supply chain efficiency projects, brokering funding partnerships, implementing or supporting complementary provincial and federal policy, and ensuring customers are knowledgeable about the unique collaboration that sets Pacific Gateway supply chains apart from our competition.
The Administrative Assistant provides a wide range of administrative and secretarial support services for the Integrated Transportation Planning Branch within the Ministry of Transportation and Infrastructure. Reporting to the Project Administrator, the Administrative Assistant supports staff in delivering on the goals, objectives and performance measures identified in the ministry’s annual Service Plan. The Administrative Assistant plans, develops and coordinates all administrative functions and services including the implementation of operational program policies and procedures, human resources, records management, facilities, and asset management.

Job Requirements:
In order to be considered for this position, your application must clearly demonstrate how you meet the education and experience as outlined below:
- Secondary school graduation or equivalent (GED).
- Minimum of 1 year of *related administrative/clerical/secretarial experience working in an office setting.
- Workplace experience managing electronic calendars including scheduling meetings and appointments for individuals and large groups.
- Workplace experience typing, formatting, and proofreading a variety of documents and materials using desktop tools such as Word, Excel and the Internet.
- Experience processing purchases and/or credit card and/or petty cash reconciliations while ensuring accuracy and completeness of documentation.
*Related Administrative/Clerical/Secretarial Experience may include:
- Experience drafting correspondence independently or from written and verbal instructions;
- Experience arranging meetings and travel arrangements;
- Experience responding to a variety of inquiries and requests for information from the public and/or private sector;
- Experience maintaining databases and filing systems;
- Experience using standard computer technology, ie. MS Office – Word, Excel, PowerPoint as well as Outlook, and Internet;
- Experience with government financial policies and procedures.
Preference may be given to applicants with one or more of the following:
- Completion of a post-secondary office administration certificate or program.
- Experience with government financial policies and procedures.
- Experience with editing briefing notes in accordance to government standards.
- Experience working with CLIFF, eApproval, ARCS and ORCS.
- Experience establishing, developing and maintaining high standards and procedures in office administration.
- Experience in a provincial government office setting.
