YOUR OPPORTUNITY
Reporting directly to the Chair, the Director, Administration and Finance is responsible for developing, coordinating, and implementing excellent standards in the core administrative systems that support faculty, staff and students; and to ensure efficient and effective strategic management of ChemE’s resources.
This involves ensuring the delivery of a comprehensive set of high quality administrative and financial services. As the most senior non-academic employee in the Department, the incumbent is required to be a capable administrator who can relieve the academic staff of as many management, legal, budgetary and communications responsibilities as possible. In consultation with the Chair, the Director, Administration and Finance oversees the delivery of administrative services and the development, implementation and evaluation of strategic short and long-term administrative plans that support the mission of the Department.
They have full managerial authority of the staff in the administrative and financial services area. The successful candidate oversees a staff of high-caliber professionals and assumes overall responsibility for human resources and labour relations including dispute resolution and compliance with collective agreements. The incumbent establishes their own priorities and develops, recommends and implements short and long-term strategic plans for the Department.
The Director, Administration and Finance manages the financial resources for the department. Responsibilities include but not limited to: budget planning and preparation; financial administration and management of operating funds, restricted funds, research grants and Dean’s Strategic Fund; forecasting; payroll; purchasing; and costing of new programs and services. The incumbent identifies opportunities for improved internal controls and financial management of the Department. They must develop and maintain an excellent understanding of the Department and Faculty financial structures, and an awareness of research, teaching and student activities that have financial implications.
The Director, Administration and Finance represents ChemE in consultation with, or advice to, other University departments, Faculty leaders, divisions or portfolios in regards to Faculty and University-wide administrative practices, processes or policies. The Director, Administration and Finance also develops and maintains internal and external relations within the Faculty and the broader community.
QUALIFICATIONS
Education:
University degree or an acceptable combination of education and experience. A graduate degree is a strong asset.
Experience:
A minimum of five (5) years of related experience in a senior administrative role managing a complex organization, preferably in a University environment. Demonstrated experience with financial management. Demonstrated effectiveness in managing and leading a large staff complement.
Knowledge of HR policies and practices. Knowledge of the University’s Administrative Management Systems (AMS), and experience managing a research infrastructure.
Skills:
Familiarity with and experience using the University’s computer systems – FIS, HRIS and RIS is a strong asset.

Superb interpersonal, communication (verbal and written) and organizational skills; collaborative style with excellent listening skills; proven leadership, team building and management skills; ability to make effective presentations; highly developed financial skills; proven effectiveness in the development of administrative systems. Ability to exercise sound judgment and balance the competing demands of routine and complex work. Ability to learn continually ‘on-the-job’ in a dynamic work environment, on own initiative, often very independently, to keep abreast of the rapid changes in the work environment. Demonstrated ability to exercise discretion at all times and keep confidential highly sensitive information.
