Purpose of the Job:
Reporting to the SVP & Chief Operating Officer, the Director, Enterprise Project Management Office (EPMO) & Vendor Management is responsible for leading the project and program governance framework, enterprise intake management, prioritization of projects according to the predefined organization wide criteria and ensuring Vendor Management programs are effectively deployed and consistently applied across the Meridian group of companies. This role will also act as a functional leader to departmental Project Managers and Vendor Management team members by providing advice and guidance, monitoring and assurance, advocacy and education with respect to projects and programs and vendor management and their delivery success.
Key Responsibilities:
Leadership
- Demonstrated proven leadership qualities and track record of creating strong employee engagement.
- The incumbent will be responsible for ensuring there are productive interactions between Project Managers, Business Analysts, Business Stakeholders and Subject Matter Experts (SME’s) in order to meet the business project needs and its requirements right from pre-project inception through to formal project completion utilizing EPMO framework and adhering to EPMO standardized governance processes.
- Enable positive changes, while championing continuous improvement and outstanding service delivery.
- Clearly communicate to Meridian stakeholders, at the right depth for the audience
- Leading change initiatives coupled with the tactical ability to implement multiple initiatives across the organization;
- Oversee the creation and management of project budgets to ensure accurate and timely reporting and to proactively address budget over/under spend.
- Ensure steering committee meetings with executive and senior management are managed to ensure high-level project status is effectively communicated and, critical information is shared to ensure quality timely decisions and continuous organizational commitment
- Ensure Board, the Executive Leadership team and Senior Leadership team are kept well informed of project status and program adherence compliance.
- Accountable to monitor and report on project status and vendor management & strategic sourcing governance in line with policy requirement, business goals and objectives.
- Responsible for ensuring timely, transparent, and accurate status reporting and early identification of enterprise risks and or issues with recommendations for remediation for all major projects and programs within the portfolio of projects.
Enterprise Project Management
- Leads in the identification and implementation of best practices of project management processes, methods, tools, guidelines and standards in order to establish a stable framework that supports all project teams and stakeholders.
- Maintain the efficiency of important aspects of the project management process such as business case development, project charters, scheduling, and budgeting and are responsible for the day-to-day operations of the enterprise project management team.
- Implement tools for project planning, execution, project management, ongoing milestone/deliverables tracking, communication, and key performance metrics.
- Oversee project budget proposals and recommend budget changes if and where necessary.
- Direct the tracking and monitoring of all project milestones and deliverables.
- Ensure that project post-mortems are completed and reported on to in order to identify successful and unsuccessful project elements.
- Hire, coach, mentor, and motivate team members and contractors to take positive action and accountability for their assigned work.
- Prepares executive level reports and presentations
- Provide documentation, education, training, coaching and mentoring of selected Meridian groups/staff to propagate project management capabilities, standards and guidelines
- Participate in the appropriate industry and IT organizations to maintain personal skills and currency of vision.
- Support and participate in Regulatory and Management Audits to identify and resolve risks and opportunities
- Develop and manage department and project budgets and costs.
- The incumbent will research and propose new methodologies, techniques and models that promote an effective and efficient project management while maintaining low- cost operations.
Vendor Management Program
- Oversee the design, development of effective leading-edge Strategic Sourcing and Vendor Management program elements including board policies, operational policies, procedures, standards, checklists, templates and forms for the Meridian group of companies.
- Collaborate with risk partners within the organization (Legal, Information Security, Information Technology, Cloud Services, Risk Management, Internal Audit, etc.) to ensure that programs are aligned with and inclusive of all cross-functional or supporting controls.
- Direct design enhancements for the Vendor Management system tool.
- Monitor new industry developments and best practices to incorporate into the VM & Strategic Sourcing Programs
- Ensure audits of Tier A vendors are conducted on a regular basis, reporting on compliance status and quality.
- Prepares executive level reports and presentations on the vendor management program.
Knowledge, Skills & Abilities
- Highly polished professional communication skills (speaking, writing) with the ability to convey complex information in a way that others can readily follow
- Enthusiastic and results-oriented leader, with the ability to motivate and develop staff to ensure maximum performance and ability to effectively managing multiple cross-functional initiatives
- Superior relationship management skills and proven ability to effectively partner and collaborate with enterprise-wide business partners, all levels of management and vendors/outsourcers to effectively manage risk and achieve best value for Meridian.
- Advanced proficiency in developing professional presentations and business reports for senior management and executives
- Advanced proficiency in Microsoft Office tools (especially Word, PowerPoint, Outlook, Excel) and Visio and presentation development applications
- An ability to understand and be interested in complex business models, vision and processes
- An ability to balance competing interests (strategic and tactical concerns, business units etc.)
- Strong attention to detail and ability to multi-task and change priorities as required
Education, Designations, Training, and Experience
- Completion of a Project Management Professional (PMP) designation is required
- Bachelor’s Degree required – BASc, BSc or BCom, accompanied by technical background.
- 7+ years of project management experience managing increasingly complex business or technology projects.
- 5+ years of progressive work experience in vendor management, strategic sourcing and/or risk management areas with at least 2 years leading a Vendor Risk Management program or Vendor Management Office.
- 7+ years of leading and managing a team of 10+ individuals.
- Experience in the Financial Sector is an asset.
- Familiarity with banking/financial institution regulations, specifically Third-Party Risk regulatory requirements, including OSFI B10 is an asset.
