Overview
Pembina Pipeline Corporation’s Grande Prairie office is recruiting for a Field Office Administrator (6-month term) to join the team. This position reports to the Supervisor, Field Administration, and will support both the Conventional Pipelines business unit (CBU) and Gas Services business (GBU) unit. This position provides reception, administrative & technical training support for the Grande Prairie field office.

Summary of Responsibilities
Responsibilities for this 6-month term will include but not be limited to:

  • Reception: answering telephone and incoming radio calls, signing in office visitors and providing excellent customer service;
  • Creation and editing of reports and documents, word processing, filing, and mail distribution;
  • Truck Ticket Auditing (printing daily reports and reviewing receipts to waybills for 3 facilities);
  • Compile and distribute daily work schedules, then update Sherwood Park Control Center;
  • Create, review & update SAP & Pembina Learning System (PLS) reports, Excel and Word documents;
  • Data entry into WellTrak and other databases;
  • Complete goods and service receipts in SAP;
  • Assist with Oil Accounting duties;
  • Scan documents for electronic filing;
  • Assist with corporate credit card reconciliation, travel planning and booking;
  • Assist with the Corporate Community Investment (i.e. Charity Campaigns, Breakfast programs, Days of Caring, etc.);
  • Provide backup administrative support for vacation/sick relief as needed;
  • Provide assistance to other business or service units as necessary;
  • Attend mandatory safety training;
  • Continually seek out opportunities to improve efficiency & productivity of processes or systems;
  • Willingness to commit to a 6-month term;
  • Other duties as requested; and
  • Participate and support an equitable, diverse, and inclusive workplace.

Qualifications

  • Minimum of a Grade 12 Diploma; Business Administration Certificate or Diploma is an asset;
  • Experienced with Word, Excel, PowerPoint and SharePoint;
  • Advanced user of Outlook and MS Teams;
  • SAP experience is an asset;
  • Ability to multitask various initiatives while maintaining attention to detail and data entry accuracy;
  • Strong verbal & written communication skills;
  • Excellent customer service and interpersonal skills with a teamwork attitude;
  • Advanced time management skills to balance competing priorities;
  • Analytical thinker with ability to work under minimal supervision;
  • Self-starter with a strong work ethic;
  • Tenacious and adaptable, as there will be the expectation to cross-train on a variety of tasks in order to provide relief coverage; and
  • Able to influence and maintain a positive and enthusiastic attitude.

The successful candidate must live within 50 km of Grande Prairie, AB.

Final candidate will be required to undergo a background check; including a criminal record check.
