About Our Opportunity

Under direction from the Manager, Strategic Planning and Client Service, the Clerk provides comprehensive clerical support services, grant administration services, and client service functions related to the operation of Early Learning and Child Care grant programs. The Grant Administration Clerk is responsible for the intake and processing of all grant applications, ensuring complete applications, analysing data submitted, and corresponding with applicants throughout the application process from intake to post-payment.

The Grant Administration Clerk provides operational supports to the unit and supports the day-to-day administrative tasks as required.

Primary Accountabilities

  • The Grant Administration Clerk reviews and processes applications submitted by clients for completeness, analyses financial and operational data submitted, verifies and/or calculates grant funding amounts, and seeks management review and approval for payment.
  • Responds daily to phone calls and emails from applicants to provide expert information related to grant applications, eligibility requirements, and calculation of benefits.
  • Processes, coordinates, and manages financial administrative and financial procedures for the unit.
  • Provides accurate, timely, and efficient support (administrative and organizational) to unit staff.
  • Responsible for the retrieval, retention, storage, disposition, and classification of division records, including administration of annual renewal of legal agreements related to grant applications.
  • Supports financial monitoring and review procedures associated with evaluation of financial and operational records of child centres to ensure compliance with grant program agreements.

Qualifications and Experience

To be successful in this role you have a high school education along with 5 years of related experience working in a computerized accounting or program administration environment. An equivalent combination of training and experience may be acceptable.

You have the following skill sets:

  • Experience in financial and/or accounting roles
  • Proficiency with Microsoft Office suite (Microsoft Office – Word, Teams, Outlook) is required along with an in-depth knowledge of Excel
  • Proficiency with computerized database systems, including data entry
  • Customer service orientation with a professional and courteous disposition
  • Attention to detail with well-developed time management and organizational skills to meet established deadlines and priorities
  • Problem solving, including the ability to analyze and relay information in a clear and concise manner
  • Strong oral and written communication skills
  • Self-motivated with ability to work both independently with minimal supervision and participate fully as an effective team player
  • Ability to maintain confidentiality
  • Experience in general office protocol, practices and/or procedures; correspondence, and document management

Although not required, the following would be considered an asset:

  • Previous experience administering grant programs

We will assess the above qualifications and competencies using one or more of the following tools: written examination, standardized tests, oral presentations, interview(s), and reference checks.

Equivalency

Completion of a one-year business or office administration course with four (4) years experience working in a computerized accounting or program administration environment.

Additional Information

This is a two-year term employment opportunity. The appointment status (‘term’, ‘temporary’ or ‘casual’) is dependent on the start date of the successful candidate.

Pay Grade: CL 22

Salary Range: $1,868.53 – $2,066.70 Bi-Weekly
