Reporting to the Vice President & Chief Medical Officer, the Lab Technician & Medical Administration (LTMA) position provides patient care, staff support and operational oversight on a day-to-day and ongoing basis within Corporate Health Services (CHS). The LTMA would perform venipuncture (blood work), ECGs, and other patient-related tasks. In addition, this LTMA would perform administrative duties such as: booking, rescheduling and confirmation of patient appointments, calendar maintenance of HCP’s, and day to day administrative office tasks. Lastly, the LTMA will help develop and optimize improvement strategies within CHS.

This posting is for a 12-month temporary, full-time position.

Combined Role Expectations

Lab Technician Duties:
– Perform routine laboratory tests (ie. blood work and ECGs) using appropriate technical equipment and instruments
– Receive, collect, and process patient samples
– Perform quality controls, calibrate and maintain/sterilize laboratory equipment
– Review daily appointment list to ensure necessary supplies and equipment are available in appropriate rooms
– Daily stocking of supplies, and ordering of medical supplies when stock is low
– Collect and record patient data on EMR system

Medical Administrative Duties:
– Assist in patient bookings/appointments, voicemail – Keeping forms and medical records up to date, including health card validation
– Assist clients with questions related to appointments, future bookings, referrals, and payments
– Communicate directly with clients, providers, specialist offices and insurance companies
– Administrative proficiency with current electronic medical record (EMR) system- OSCAR
– Develop calendar management strategies for administrative staff managing multiple providers’ Outlook/EMR schedules (both corporate- and patient-based)
– Carry out MOH billing, invoicing, and follow-up of payments for physicians (re: error reports (A/R reports), invoicing clients/lawyers/insurance companies/ledgers)
– Support team function by assisting in staff’s passcard renewals, Pcard management, ONE ID management, Timekeeper tracking, expenses for HCPs in Oracle (ie. professional dues), etc.
– Assist in necessary day-to-day operations of the clinic
– Assist with purchase orders and contractor payments (ie. Oracle and Sensa)
– Assist in ordering of medical and office supplies
– Assist with communications and work orders for general office maintenance
– Improve the client care journey by identifying, developing, and implementing improvement strategies within the office (ie. time-efficient scheduling/review of scheduling for patients and providers, developing office workflows, developing processes for office supply inventory, etc)
– Improve accessibility of care for clients by identifying scheduling processes to allow for walk-in appointments with providers, blood work draws, blood pressure monitoring etc.
– Work with team to identify issues and develop SOPs for standard work flows (ie. consult notes/ referrals follow-up, health card verification, workload tracking, etc.)
– Updating Rogers CHS website on RogerZone

Work Environment:
– Primary care clinic environment in Rogers Communications Inc. building – Toronto location
– Regular business hours: 8:00-4:00PM Monday to Friday, subject to change

Role Requirements:
– Laboratory Technician (OSMT/CSMLS) certification required
– Medical Administration diploma an asset
– High school diploma required
– Must have worked in previous health care setting (ie. laboratory, hospital unit and/or medical clinic administration)
– Excellent problem-solving and critical thinking skills
– Outstanding written and verbal communication
– Excellent time management skills
– Must be able to work independently and develop solutions within team environment
– Must possess a strong focus on delivering quality customer service
– Moderate computer and medical systems knowledge required
– Must have previous experience with Microsoft Word, Excel and Outlook
– OSCAR EMR system familiarity an asset
