Job Description

  • Lead, coach and develop a team of Lease Analysts, as well as ensuring an open, honest, diverse, and supportive work environment.
  • Manage the end-to-end delivery of lease administration services including rent roll preparation and rental payments for the Canadian Real Estate portfolio ensuring payments adhere to the terms of the lease document, current lease accounting and IFRS practices and internal and external audit requirements.
  • Build and manage solid, effective working relationships with landlords, tenants, vendors, property owners, customers, business lines and real estate partners for the portfolio of Canadian leases managed.
  • Conduct focused analysis and make recommendations to legal counsel pertaining to multi-floor complex leases, as well as provide ongoing guidance, expert lease interpretation and financial reporting to internal and external stakeholders and various business partners, including Transaction Management.
  • Detailed analytical knowledge and specific real estate expertise and the advanced understanding of complex lease language is required in order to provide guidance to Team when auditing Landlord operating cost and real estate tax reconciliations. For complex audits, must have the ability to challenge the Landlord billings and negotiate settlements.
  • Review, modify, develop, and implement tools, processes and procedures relating to lease administration to ensure process efficiency.
  • Utilizing the Tririga workflow process approve Canadian lease abstract modifications entered into the lease administration database (Tririga), ensuring accuracy, quality of input and adherence to lease and IFRS abstraction procedures.
  • Track lease compliance cost savings recoveries and opportunities and report results to Senior Manager.
  • Review of rental payments include rent, operating cost and realty tax adjustment ensuring compliance to the lease requirements, as well as SOX requirements.
  • Pro-actively monitor outstanding Landlord reconciliation statements and develop processes to ensure the timely receipt of these statements.
  • Manage the balancing and processing of rent and tax epay files for the Canadian Real Estate portfolio ensuring accuracy and SOX compliancy.
  • Manage the processing of payments (including real estate/business taxes, business licenses) made directly to tax authorities for the Canadian Real Estate portfolio ensuring payments are made within required deadlines. Also manage processing of income and expense forms and vacancy rebate applications.
  • Manage the collection of construction allowance payments from Landlords ensuring payments are received in a timely manner.
  • Manage the delivery of lease administration services including invoicing of rent, preparation of yearend reconciliations, and collection and deposit of payments for the bank’s Tenants for the Canadian Real Estate portfolio.
  • Manage the preparation of Estoppel Certificates and SNDA documents for the Canadian lease portfolio ensuring compliance.
  • Manage relationship with outsourced provider for abstractions of new Canadian Leases, ensuring accuracy and compliancy with TD lease requirements.
  • Subject matter expert for the internal partner leases housed in Tririga.
  • Ensure monthly lease accruals and monthly accounting charge outs are processed accurately, within required timeframes and meet audit requirements
  • Provide ongoing support to Senior Manager, Lease and Tax as required.
  • Maintain proficiency with software applications/programs and/or department specific systems as required (ie. Word, PowerPoint, Excel, Access, Outlook, Tririga).
  • When handling Leases and sensitive real estate information and initiatives, must maintain discretion in managing correspondence, information, and all matters of confidentiality.

Requirements

Specific Education Requirements

  • Ideal candidate will possess a University degree with a business/accounting focus
  • 7+ years of experience in lease administration and 3-5 years of management experience
