Job title: Office & Administrative Assistant

Job description: CURIE (Canadian Universities Reciprocal Insurance Exchange) located in Burlington, Ontario is seeking a full-time Office and Administrative Assistant to join our team on a permanent basis. As Office Admin, you will be the first impression for the entire organization and play a critical role in the daily operations of the office and administrative support. The ideal candidate is an organized, detail-oriented, self-starter who can manage multiple projects with accuracy and has a willingness to learn new skills. The chosen candidate will be responsible for providing a broad range of communications, event planning and general insurance and administrative support to staff and CEO.

Key Responsibilities:

Reception & Office Administration

  • General office reception
  • Answer and direct all incoming calls to main reception line
  • Field internal and external general office inquiries
  • Welcome all guests to the office and coordinate with host
  • Maintain general reception area and conference room
  • Maintain and order office supplies from appropriate vendors
  • Liaise with vendors for all incoming and outgoing packages
  • Process and distribute all incoming mail
  • Assist as needed with building facilities management inquiries for office
  • Provide administrative support to member of the management team and CEO as needed, including calendar and scheduling, travel arrangements, and preparing expense reports

Communications

  • Assist with production and editing of Quarterly Newsletters & Annual Report
  • Assist in the production of various information bulletins and written member communications
  • Manage contacts database
  • PowerPoint presentation design

Event Planning

  • Coordinate Board and Committee calendar of events
  • Arrange and coordinate hotel bookings for Board and Committee meetings
  • Prepare Board and Committee meeting agendas and distribute meeting materials
  • Attend Board and Committee meetings and record meetings minutes and track action items
  • Oversee planning and logistics associated with member events and meetings
  • Coordinate/manage monthly webinars and quarterly townhall calls

Insurance Administration

  • Assist with insurance policy issuance
  • Issue Certificates of Insurance
  • General claims administration – setup claims files and post reserve changes

Requirements:

  • Must be certified in Microsoft Office – specifically Outlook, Word, Excel & PowerPoint
  • Must have excellent written & verbal skills
  • Communications experience preferred
  • Event planning experience preferred

Education & Experience:

Post-secondary education

Minimum 2 years insurance industry experience, understanding of basic insurance terms

Minimum 2 years administrative experience
