Mothers Choice Products is looking for an Office and Administration Manager (French Speaking) to join our growing team!

About You:
You are fluent in both French and English and describe yourself as a ‘Jack of all Trades’. You are confident in being a leader, can easily adapt to the needs of your team, and provide nothing but top-of-the-line service to your customers. You have an entrepreneurial spirit, are naturally motivated to go above and beyond, and are a proven people person. You’re passionate about working with numbers and with a demonstrated experience in full cycle bookkeeping, aren’t afraid to dive right into the nitty-gritty details!
A Day in the Life:
In this in-office position, you’ll take the wheel and be responsible for the overall organizational efficiency of the office operations, including overseeing cash flow and ensuring that the highest level of customer service is consistently delivered. As Office and Administration Manager, you will be reporting to the Vice President and working closely alongside them. Your key responsibilities will include:
Accounting and Payroll Duties (75%):
- Manage all operational bookkeeping aspects related to planning, directing, and controlling financials, including sending out invoices to clients and overseeing billing processes.
- Input new customers in Sage accounting program and maintain the database.
- Use your precise attention to detail to manage our Accounts Receivable and Accounts Payable books to ensure all information is accurate and up to date.
- Own end-to-end management of our equipment rental program.
- Regularly collaborate with our Warehouse Manager on product issues and order requirements, while handling complex customer concerns and inquiries.
Administrative and Team Leadership Duties (25%):
- Lead and supervise customer service personnel, including hiring, training, delegating tasks, and handling conflict resolution.
- Manage all WorkSafe administration for each province.
- Create and prepare the internal monthly newsletter for distribution.
- Train new office employees on the Employee Handbook so that they are set up for success and ensure that current employees follow all policies and procedures as set out in the handbook.
- Collaborate with the entire team to support any special projects as required.
Your Qualifications:
- Exceptional verbal and written communication skills in both English and French is extremely important in this role as you will be in communication with customers across Canada.
- 1-2 + years supervisory experience in an administrative, bookkeeping, or accounting role.
- Post-secondary education or strong knowledge in business, accounting, or bookkeeping.
- Strategic thinker with experience using MS Office and Sage.
- Proven people management and leadership skills – you’re a true people-leader at heart!
- A positive and professional demeanour with the ability to effectively liaise with all members of the Mothers Choice Products team.
- Ability to think creatively and solve problems with a high level of personal integrity.
- Committed to providing superior customer service.
- Excellent time management, follow up, attention to detail, and organizational skills.
