What you will be doing:
Reporting to the Director of Finance, responsibilities and essential job functions include but are not limited to the following:
- Execute the efficient, accurate, and timely operation of Payroll in accordance with company standards, internal controls and the collective agreement
- Manage all payroll activities in accordance with federal and provincial statutory regulations
- Maintain complete confidentiality with payroll records, payroll data and personal information
- Submit all payroll reports to human resources, executive team, corporate, and government agencies on a timely and accurate basis
- Ensure gratuities allocation for Bell, Room Service Servers, Banquets Servers and Bartenders are in accordance with Night Audit
- Ensure revenue reports are in accordance with Accor Finance Policy and Procedures and local law
- Ensure vacation entitlements and accruals in accordance with GAAP, the union agreement and to the company vacation policy.
- Lead the transition to a new payroll system (Dayforce) in the current year and through 2023
- Prepare Payroll journals for month-end processing on the first day of the month
- Prepare balance sheet reconciliations related to all payroll accounts including, but not limited to: Payroll Clearing, Vacation, Holiday, WCB, Salary Advances, Payroll Accrual, Pension Liability Accounts, etc.
- Onboard, train an develop leaders on payroll responsibilities and management, scheduling, software management, daily timekeeping edits, etc.
- Champion our WATSON labour management system for the hotel
- Distribute weekly WATSON variance reports and collaborate with leaders to understand and rectify variances
- Prepare monthly labour forecast worksheets (WATSON)
- Edit daily payroll and report errors to leaders
- Ensure smooth and seamless operation of payroll system, troubleshoot and provide guidance when required
- Maintain back-up of key payroll information for historical and current reporting
- Respond to government inquiries in a timely and accurate manner (CRA, Stats Canada, WCB, etc.)
- Ensure all garnishments are deducted and submitted in a timely manner with appropriate back-up and authorization in accordance with local laws
- Deduct and reconcile all employee payroll advances according to legal and corporate policy guidelines
- Account for and make timely payments for all deductions to third parties; (Including, but not limited to: Charities, Canada Savings Bonds, Pensions, etc.)
- Perform other duties as assigned by the Director and Assistant Director, Finance & Business Support
- Organize and implement administrative systems & procedures, and perform necessary support duties
- Serve as a principal source of information and a record keeper for Finance department
- Prepare and maintain your department’s records & regular reports
- Prepare monthly payroll accrual & overtime as per monthly timelines
- Establish and maintain strong working relationships with colleagues and leaders
- Adhere to all Company policies & procedures
- Complete all other duties and special projects as assigned
Your experience and skills include:
- Service focused personality is essential with previous experience in payroll
- Diploma or degree in Accounting or relevant field preferred
- Expert proficiency in Microsoft Office applications, especially Excel
- Familiarity with hotel operating systems and software (Sun Systems, Hyperion, Attendance on Demand, Ceridian, Silverware, Birchstreet, Watson, DayForce, Opera PMS, etc.) a strong asset
- Exceptional administrative, interpersonal and written and verbal communication skills
- Ability to train, communicate and follow up with hotel leadership on payroll related issues
- Highly responsible & reliable with the ability to work well under pressure in a fast paced environment
- Results orientated with high attention to detail and a sense of urgency, with the ability to prioritize and meet deadlines
- Ability to problem solve and seek solutions independently
- Ability to work cohesively as part of a team while setting and completing individual deadlines
- Ability to work occasional weekends, holidays, and extended hours as required
Physical Aspects of Position (include but are not limited to):
- Seated computer work, including constant use of keyboard and mouse
- Occasional lifting up to 25lbs
Visa Requirements: Must be legally eligible to work in Canada. The hotel is unable to assist candidates in obtaining Canadian work authorization.
