Work Arrangements

The Faculty of Commerce & Business Administration and the Faculty of Health Sciences are seeking a Program Coordinator for the Office Administration (OADM) programs. This position takes effect January 1, 2022 and runs until August 31, 2023.

This position has three sections of time release available – one section for each of the Winter 2022, Fall 2022, and Winter 2023 semesters. Preference will be given to faculty who do not have a conflict of commitment. Please refer to the Conflict of Interest Policy:

The Role

As Program Coordinator for OADM programs the faculty member is responsible for providing leadership and program administration that is related to faculty functions.
The faculty member in this position responsibilities include: :
– ensuring the OADM curriculum is relevant and current.
-managing all the operations of the OADM programs including workload assignments and recruitment/marketing
– consulting with OADM faculty on matters related to curriculum and operations
-implementing operations and curriculum decisions following consultation with OADM faculty.
-developing and maintaining partnerships with external and internal stakeholders
-organizing annual Program Advisory Committee meetings
-Completes the annual Douglas College Program Review and if required the Douglas College Compliance Review
-ensuring that all relevant College policies and procedures are followed within OADM programs and by faculty.
Responsibilities

COMMITTEE MEMBERSHIP
– OADM Program Advisory Committees as appropriate
– Other Douglas College committees and external stakeholder committees as appropriate
PLANNING
– Oversees the operational management of the OADM program(s)
– In conjunction with Registrar’s Office and CBA & HS staff coordinates registration process and faculty access to courses
– Enables long range planning for program development in accordance with College processes
BUDGET & STAFFING
– Prepares the departmental education plan, including workload assignments and timetable plans in consultation with faculty and recommends to Deans/Associate Deans
– Participates in preparing the operating and capital budget requests for the programs and recommends to Deans/Associate Deans
– Ensures program expenditures related to supplies, travel and mileage are within approved budgeted parameters and has signing authority CURRICULUM
– Coordinates and attends Program Advisory Committee (PAC) meetings and provides leadership in seeking advisory input
– Coordinates faculty College Professional Development (PD) activities in relation to curriculum ensuring that PD outcomes are congruent with approved curriculum and program structure
Oversight of the Program operations as related to curriculum delivery
– Initiates curricular development and revision processes via approved College processes.
– Coordinates program orientation for new students in conjunction with faculty.
– Ensures appropriate procedures and policies are followed for students completing program to obtain registry status PROGRAMS-FACULTY RELATIONS
– Facilitates effective communication and decision-making within the programs
– Ensures faculty professional development time and accountable time is coordinated with department plans
– Coordinates faculty orientation; provides faculty orientation to OADM common processes and faculty roles and responsibilities
– Coordinates coaching, mentoring and developmental opportunities for faculty
– Provides input into probationary evaluation of faculty
– Supports and promotes scholarly activity
– Applies Collective Agreement to decision making related to departmental operations and faculty roles. FACULTY OF COMMERCE & BUSINESS ADMINISTRATION-FACULTY OF HEALTH SCIENCES / FACULTY RELATIONS
– Informs Deans/Associate Deans of program operations, problems and issues on a regular basis
EXTERNAL LIAISON
– Establishes and maintains an effective working relationship with other College departments, regulatory bodies, professional groups and other related educational programs
– In conjunction with Placement Coordinator, responsible for management of HSP Net (Health Sciences Placement Network) to coordinate the practicum placement of MOA students with VCH.
– Coordinates representation of the programs at external group meetings
– Works with PAC chair to ensure effective advisory functioning
– Organize and schedule instructors to participate in College Information (recruitment) Sessions; maintains currency of promotional materials for the program.

To Be Successful in this Role You Will Need

1. Bachelor’s Degree required, Master’s or Doctorate/PhD preferred in an
appropriate OADM field of study
2. Three or more years of full-time teaching experience in public post-secondary setting preferred
3. Demonstrated ability to teach adult learners
4. Demonstrated organization and management skills
5.Demonstrated ability to coordinate and manage projects
6. Demonstrated positive interpersonal and networking skills, including teamwork and conflict resolution skills
7. Knowledge of, and experience in, curriculum development and program evaluation
8. Demonstrated self-direction, motivation, initiative and creativity
9. In depth knowledge related to Medical Office Assistant and/or Legal Administrative Assistant context and practice roles
10. Represent the goals, values and philosophy of the OADM programs and Douglas College
11. Demonstrates awareness of Truth and Reconciliation report along with an understanding of principles of cultural safety and humility, anti-racism, and needs of marginalized groups.
