We are currently seeking an experienced Project Administration Manager to support projects and supervise our Canada Group project administrators and administrative assistants. This position requires a detail-oriented individual with strong planning and intuitive managerial skills. In addition, a dedicated and professional demeanor, with the ability to prioritize and work across many projects, manage upwards and, work well in a diverse environment.

Job Responsibilities:

  • Providing day-to-day leadership to their team that will ensure high performance that supports achieving the company’s mission, strategies, and values
  • Leading all administrative functions for their own and project administrative team’s projects while aiding in ensuring that our Management Systems’ standard methodologies and requirements are met
  • Communicating job expectations, planning, monitoring, and appraising job results
  • Coaching, counseling, focusing employees initiating, coordinating, and implementing systems, policies, and procedures
  • Collaborating closely with leadership to discuss assignments and ensure that issues and problems raised by staff are addressed
  • Carrying delegated responsibilities for the commercial success of our projects under the direction of our project managers, project commercial, and finance teams
  • Staff recruitment and development

  • Experienced with conflict resolution and helping parties reach successful outcomes
  • Supports and guides the development process, collaborating effectively across multiple cross-functional teams to skillfully execute on milestones and deliverables promptly
  • Strong collaboration/relationship skills with internal and external project stakeholders
  • Results-oriented with a demonstrated ability to promote and drive change to improve processes further
  • Leverages digitalization, agile, and outcome-based delivery to continually enhance and enable business value
  • Strong interpersonal and communication skills essential for team-based working
  • Ability to handle confidential assignments with tact and diplomacy
  • The ability to prioritize effectively, balance assigned work, and exceptional organization skills are required for our continually evolving environment
  • Ability to quickly use new technology and a validated understanding of current technology to support project teams effectively
  • Training experience a plus

Qualifications:

  • 8 or more years project administration experience in an engineering/architecture and construction environment is required
  • Successfully managed small to major projects from conception to completion of construction;
  • expert proficiency with the Microsoft Office Suite and other standard applications/software programs and databases
  • BA/BS degree is preferred
  • Bilingual French-English is preferred
  • PMP and/or construction administration certification a plus
