The Role

Pan Pacific Whistler is looking for a Reservations & Guest Services Agent to support the Reservations and Front Desk operations at the hotels.

RESPONSIBILITIES

  • Answers phone promptly, professionally with a friendly greeting, and identifying self.
  • Promptly answering guest requests (letters, fax, E Mails) within 24 hours
  • Daily support to Revenue team, such as, but not limited to, daily opera activities & transactions and OTA inputting.
  • Assist the Revenue team with weekly and monthly reporting
  • Explain rate structure, available rooms, method of payment/guarantee and cancellation policies, hotel policies, facilities and services to guests.
  • Collect pre-registration information such as guest name, address, credit card number, etc.
  • Accurately enter guest reservation details into the computer system.
  • Review and send written confirmation to the guest.
  • Downloading reservation requests from Emails, Extranets, Wholesale partners, Unit Owners and other as required and confirm via email and or on websites as needed.
  • Enter reservations Data from Email, Faxed Mails, Reservation forms, and Rooming list.
  • Act as a Guest Service Associate when required: Provide pre-arrival, arrival, in-house and departure services.
  • Direct guest complaints to appropriate Department Head/Duty Manager.
  • Communicate and exchange information with Hotel Sales Department and Front Desk.
  • Provide directions to locations within and outside of the Hotel.
  • Ensures all duties on task list are completed.
  • Perform any other duties as assigned by the Director of Revenue, or Front Office Manager.

Talent Profile

  • A minimum 3 years previous customer service experience
  • In-depth knowledge of Whistler, surrounding areas and of local tourist products
  • Ability to communicate fluently in English both written and verbal
  • Previous hotel Front Desk or Reservations experience is an asset
  • Second language is an asset
